Chapter 1
Project Context
Introduction

Technology has revolutionized the education industry, and its contribution is

undeniable. The integration of technology in education has transformed the way students

learn, teachers teach, and schools operate. The use of technology has fundamentally

changed many aspects of education, including grading systems. As technology continues

to advance in education, it is likely that more schools will adopt these systems as a

standard practice.

Lack of transparency of grades is a common problem faced by many students and

teachers alike. This manual handling can be time-consuming and crucial as it involves

sensitive student information. Distributing grades to a large number of students within a

limited timeframe can be challenging. Also, maintaining and organizing physical grade

records can be inefficient, especially as the number of students increases. It might be

difficult to access previous grading data and can be problematic to store and retrieve past

grade records.

The development of a web-based online grade report system aims to simplify the

grading process for teachers and enhance the learning experience for students. If the

system is developed online, it is far more reliable, convenient and usable. With this

platform, teachers can grade their students’ pleasantly from anywhere using smartphones,

laptops, computers and other internet connected devices providing flexibility for both

teachers and students. Instead of waiting for hours, days or weeks to receive the

document, students can simply view their grades.

The researcher developed grade report system that can help the teacher to manage

the grades of the student, in this way it will give students convenience to view their

grades. The system can lessen the problems that happened in the manual grading system.

Through the developed system student can easily view their grades while for the teacher

it would give them efficiency to grade students.

Senior High School started from its humble beginnings in 2016. In senior high

school they grade students by two quarters determine the Final Grade in a semester.

Teachers were responsible for allowing students to view their marks in school, but they

still handle grades manually, although students can view their grades by visiting the

school, but this experience is time consuming. Some students concern about this kind of

approach, particularly when the teacher seems busy and hesitant to interrupt them while

they are working, the existing method is inefficient and can be further improve by using

technology.

According to Borngo, J. C. (2019) manual handling of grades can create lack of

transparency. Students may not have access to their grades immediately and it requires

time. By implementing a feature that can view grades to the system would provide

students valuable feedback in timely manner without having a physical interaction from

teacher and help create a more supportive learning environment that focuses on

individual progress.

Purpose and Description

The project was conducted in order to support the school in the preparation of

releasing grades. In general, this web-based application would assist individuals by

utilizing technology.

The system will be beneficial to the following:

Teacher – the one will submit the computed grades on the system, this will help them in

checking the submitted grades to lessen the errors.

School – this study can help the school to have a good grade report system that is

essential for the success of any educational institution. This will improve their usual

workflow and offer the student to gain access to their grades without having physical

interaction or going to school just to see their grade report.

ICT Administrator – an authorized user to manage the whole system and oversee the

daily operations of a school to ensure that all technology-related resources are up-to-date,

secure and functioning correctly.

Student– the student will also benefit from the system since they can view their grades

anytime using internet device.

Conceptual Framework

The IPO model was used by the researchers since it is a systematic process for

capturing and visualizing each input, output, and phase in the transformation of an input

into an output. The input is where all the required information is gathered. The flow of

information and materials into the process is represented by inputs. The tasks needed to

change the input data into an output are all part of the processing step. The data and

materials produced by the transformation process are known as the outputs.

The system can add grade details, student details, teacher details strand details,

school details, guardian details, generate form 137 and 138. In the system, the teacher and

ICT administrator can monitor the student progress and encourages the school to give the

learners a best possible education. The system can also send an SMS to students and

parents in every posted grade.

The system will have the list of students and teachers providing the number of

students enrolled in each class and the number of teachers required to teach them. By

making this feature visible, students can feel more connected of their classmates and

teachers while also giving ICT administrators useful information to use when allocating

resources.

Objectives

General Objectives

This study aims to design and developed a system that will assist the senior high

school to improve the traditional handling of grade report for students which also serve as

a platform for viewing grades and teachers to submit the final computed grades and can

generate form 137 and 138 that will be secured and reliable in keeping the records.

Specific Objectives

Specifically the system aims to:

 To gather and analyze information from the internal and external stakeholders to

provide data for the development of the Online Grade Report System with SMS.

 To design a system that will allow:

- To generate form 137 and form 138.

- To customize school details.

- To provide computerized record keeping of grades for this school.

- Students access their grade online.

- Sending SMS in every posted grade to students and parents.

- Teacher can submit grades in a web-based application using internet-

connected device.

 To develop a system that follows the design and requirements of the proposed

system.

 To test and evaluate the proposed system, as well as conduct a pilot test to ensure

that all system requirements are being fulfilled.

 To deploy a web-based application system for online grade report.

Scope and Limitation of the study

The developed system was a web-based that serve as a platform for students,

teachers, and ICT administrator in senior high school. The study focuses on developing

Grade Report System to manage teacher and student, user-friendly interface for the

convenience of the users. In the system there are four users: the student, teacher, ICT

administrator, and super admin. The student have access to their grades online. Teacher

can submit the final computed grades every semester, it can also generate form 137 and

138. The system will send an SMS every posted grade. The system, teacher, student,

subject, section, and strand could all be managed by the ICT administrator. Lastly, the

super admin has the privilege of being able to customize the system's content for the

registered school, create the admin's account, trace the total number of schools that are

registered and can also block school that does not follow the policy.

The system will not be accessible for offline use, and it ensures that all

information is confidential and accessible only by authorized users. While, the system

provides students with easy access to their academic progress, there are certain aspects

that cannot be included due to privacy concerns including student can view other student

grades as it can create unnecessary competition among peers, leading to feelings of

superiority. Other than that, if the teachers submitted wrong grades of student, the system

is not reliable in human error.

Definition of Terms

The following terms used in the study are defined conceptually as used in the study.

Data – a collection information.

Database – a collection of pieces of information that is organized and used on a

computer.

Grade – it is the achievement of each student in every subject.

Internet Connection – allows computer or smartphone to access the system.

Portal – web page providing access or link to other sites.

Semester – a half-year term in a school.

Strand – student undertake a standard core curriculum and from four tracks of

specialization.

SMS – is a form of text message that’s sent from one device to another.

User-friendly – an application that is simple to use even for those who are unfamiliar

with the system.

Web-based – a software application that can be accessed and runs on a web browser.
Chapter 2

Review of related literature

This part of the study examines previous study that were carried out to act as a

basis for various research projects used to be able to establish a discussion in

strengthening the importance of the present study. In order to obtain different authors’

viewpoints on the information that was collected, many journals and articles were

reviewed for effective online grade report system.

Foreign Related Studies

According to Manuhutu et. Al (2018), Academic Information System is a field

that studies curriculum or inner learning, with the goal of increasing knowledge in terms

of education that may be administered by a school or education institution. In their study,

the said system is designed to help students process their details in school through online.

The concerned has led the development of this system since in school just to viewed and

print grades a bit hassle for some students. Any students who want to see his/her

academic grades has to go to the university. As a result of the excessive use of time and

paper, the issue that results are a tricky process. The desire to add academic information

system derives from the fact that manual handling of result cards might result in

misplacement of important document.

Kom, H. S. (2018) introduced an Online Data Processing Information System for

student grades which will provide the answer to the problem currently happening in Atisa

Dipankara High School. Certain procedures, like grading, only use the manual processing

of student value reports in Microsoft Excel. The homeroom teacher has difficulty

processing the teachers’ grades for the students. The headmaster also struggles to keep

track of the grades that teachers enter into the scores. The implementation of Online Data

Processing Information System will help the teachers directly inputting their student

value data so that the printing process of student reports becomes more effective and

efficient. This will assist the process of calculating the grade of student reports in Atisa

Dipankara High School by using the said system.

Lubanga et. Al (2018) Web Based Student Information Management System in

Universities. Manually managing student information was done using paper-based

systems. When enrollment in educational institutions grew, the system was unable to

manage student records efficiently. The speed with which services and decision-making

processes are carried out in educational institutions has been the key concern with manual

systems. Due to the adoption of systems with the Online Student Information System in

educational institutions, it is now possible to collect and monitor all student records using

internet technology.

As mentioned by Nadiri H. et. Al. (2019). The Student Information System is

used by HEIs to provide services to their students such as online course registration,

online fee payment, timely and secured communication between students and advisors,

and course lecture schedules. Under each faculty or school inside the university, the

portal provides courses, curricula, academic departments, or programs. In this study

students can utilize the site to register for classes, view their academic results from their

transcripts, curriculum, and weekly schedule, as well as pay any outstanding debts to the

school online. The administrative staff interacts with the portal to registered students as

well as other responsibilities such as reporting that are launched by administrative and

academic managers regarding the registered students of a specific program for

improvement and accrediting purposes. Academic and administrative management at

HEIs also used SIS to generate various reports in order to make strategic decisions to

achieve the institution’s goals.

Local Related Studies

Barron et. al (2020) developed the Student Information System that could help to

easily find students’ record automatically. Due of the main issue that Doña Rosario High

School was facing which was the difficulty in tracking student information. This study

was used to manage student data in the educational system. In the system the school

administrator enables to registered students for courses, document grading, and managed

student data needs. The system could easily be used by an unauthorized person if there

was no security and storing documents they misplaced, the students record could be

misplaced if it was not kept properly. The researchers find the problem of having a

manual process hassle and believed that the proposed system was useful, safe, and user-

friendly. Other than that, it could also be beneficial to the school and its administration.

In accordance with Sandoval, G. D. (2019). The Development of an Online

Grading System for the ICT Department at Bestlink College of the Philippines was

undertaken to investigate the logistical concerns surrounding the collection, grading, and

distribution of grades for senior high ICT students. The solution they came up with is the

implementation of online grading system keeping teachers, faculty, and students of

developing a dependable, time-efficient, and requires less time. A relatively quick access

to grade information that enables teachers, parents, and students to submit and view

student grades with less time being spent compared to the standard approach.

Argallon , S. (2019). Modified Online Grade Viewing for Senior High School

Students of Badian NHS. The existing system of grading is inefficient and requires a lot

of time and effort. They put into place an approach that could enhance the current grading

system at the institution. Students will be able to access their grades online with their ID.

number. It is far more convenient for the teacher and administrator and is accessible to

students, however only if they are aware of the system. The study will be very beneficial

to the school. The process of compiling the grade record will be easier, quicker, and more

organized.

As stated by Agustin, L. (2018, December). Utilizing SMS and Student Portals:

Academic Grades Viewing and Notification. As the school year progresses, students

cannot be aware of their marks. They require a system that can send SMS Notifications

with grades and subject information. The development of the aforementioned system,

which helps parents in keeping track of their children’s grades, is their approach to

solving this concern. It is very helpful to the teacher in terms of inquiry of worried

students to their grades. Other than that, it could also be beneficial to the school and its

administration.

The study of Borngo, J. C. (2019, November 14). Online Grading System for

Mindanao State University Maigo School of Arts and Trades said that using a manual

grading process in distributing grades, the university will experience a ton of issues. The

cause of delayed feedback on the status of grading and unreliable of distribution of

grades. The implementation of the online grading system will help the university to
reduced risk of human error in compiling grades after submission. Although the online

grading system

is undoubtedly preferable to a manual or paper-based one, it has been proven that minor

details can adversely affect usability and user satisfaction.

According to Pingcas et. Al (2019). Student Information System would allow the

student to view all information such as personal information, course and section

information, schedule. The staff may examine the summary grade, determine the final

grade, and import and enter grade information for each part in this system. The proposed

systems’ intent is to develop an effective system that makes tasks more accessible,

convenient, and simpler to complete if they are computerized. A certain goal is

comparable to that of earlier studies. Also, other studies had used an grade report system

in a comparable manner. Instead, there are differences between the earlier study and the

one that was developed. However still, this study focused on viewing grades so that

students could easily access their portal to view and manage their personal information.

Synthesis of Literature and Studies

Several academic institutions find the online grade report system to be

particularly beneficial. This minimizes the probability of situations like losing student

records, time consuming and hassle. These kinds of systems could offer a quick way for

students to view their grades as well as for the teachers.


The system’s objectives were similar to those previous study, which aimed to

develop an effective system that makes tasks more accessible, convenient, and simple to

use by taking them online. Also, the study’s development was guided by the relevant

literature and studies.

The studies cited above, and the researcher’s latest work are related since the

difficulties they encounter are the same as the Senior High School is currently

experiencing, namely the mishandling of confidential information, possible of losing

student records, time consuming in terms of maintaining and organizing physical grade

records, and hassle. The use of web-based online grade report system as a method of

monitoring and providing teachers to input the computerized grades will boost the

institution efficiency and may remove some issue that student is facing.

In addition, there were differences in between the previous and the proposed study

which is the different method of computing student grades and technologies previous

researchers used. The study of Agustin, L. F., Flores, F. K., Galindo, S. A., & Casabar, R.

P. (2018, December) is using an Excel spreadsheet to calculate their grades for each

period, the grades encoded in every period, and it will compute by the system that can

give a general average. However, Excel spreadsheets is also a manual method of

recording data but more organized and accurate than a record book. In the study of

Manuhutu et. Al (2018) they use an online software that will compute the student value

data. They used PHP and JavaScript as the scripting language. However, the database
management software Manuhutu et. Al (2018) used is the same software that proponent’s

will be using. Additionally, the proponents will use CSS as the graphical user interface

design tool and MySQL as the database. The researchers’ basis for the web-based

application of the online grade report system with SMS would be these related studies.

Chapter 3

Research Design and Methodology

A System Development Life Cycle (SDLC) was used by the researcher in this

section of the study, which ensure that the requirements needed to develop an online

grade report system were fulfilled. Following are the phases of the SDLC use in this

study: requirements gathering and analysis, design, development, testing and evaluation,

and deployment. See Figure 2.0

Requirements Gathering and Analysis Phase

In this phase, the researchers will gathered the necessary data for the development

of the proposed system by conducting interviews to the users particularly student,

teacher, school principal and ICT administrator. The researchers decide to collect the

essential data

at the Tambobong Balacanas Senior High School considering all senior high schools

follow the same approach for assigning grades. Principal received a letter of intent from

the researchers. The researchers offered a list of ten (10) questions to the School Principal

and asked for permission to observe the working environment about the methods of

distributing grades for student. After the data gathering the researchers will then analyze

the gather data to identify the functional and non-functional requirements of the system.

Finding out what problem they are having was the purpose of the interview. The

problems mentioned during the interview serve as a basis for implementing the proposed

system.

Design Phase

In this phase, the researchers provided a comprehensive design to ensure the user

could comprehend the proposed system’s overall concept. In order to conceptualize the

system, the researchers will be using a variety of diagrams, such as entity-relationship

diagrams, database normalization, use case diagrams, data flow diagrams, system process

flow diagrams, and context level diagrams.


The researchers employed the structured design technique to better visualized and

comprehend the attributes and capabilities of the system. The Context Level Diagram

served as an overview to provide further information, giving indications to future users of

the proposed system while imparting a knowledge of its concept. Additionally, the

researchers take use of entity relationship diagrams, which are graphical representations

of

information systems that show connections between the users or the actor and the system.

The researchers also use a use-case diagram to illustrate how the system and users

interacted in various ways during this phase. The output and input of data throughout the

system were included in the data processing that was graphically presented using the data

flow diagram.

Development Phase

The development phase of the process followed next. For the development of an

effective online grade report system, the researchers will use a three-tier architecture

design. When developing the cross-platform application, the researchers had to use the

HTML and CSS for the interface, JavaScript for functionality and the MySQL database

for data storage.

Figure 3.0 The researchers shown an architectural design they intend to utilize for

constructing an internet web application platform. To develop the presentation layer’s


graphical design, the researcher use the HTML 5 and CSS for the user interface and

Programming language JavaScript is used to interact with web pages to implement

system functionality in the presentation layer. Uses PHP and the Laravel Framework in

its second layer to communicate and manipulate the database. The researchers favored

MySQL as the data storage and retrieval platform, so at the very least, to keep that

database.

Testing and Evaluation Phases

This phase requires reviewing and evaluating the system to make sure it complies

with the requirements given out within the project scope and to determine whether it

provides efficiency to the teacher, ICT administrator and student. The researchers conduct

a functionality test. This will allow the researchers in improving the system features and

resolving issues that occurred during initial testing.

During the evaluation phase, the system will be evaluated together with the

participation of the random respondents, the researchers will not going to facilitate the

user on how to use it in order to observe their response if the system is convenient and

functionable and also question users about the system functionality and how well the

system meet their expectations. This provides researchers with understanding of what

features they need to be enhanced. If the user have suggestions about the system, the

researchers have the option to modify the system’s features by going back to the initial
phase of the methodology in order to develop an effective and efficient online grade

report system. The evaluation is necessary for assessing how well the system performs

overall in terms of effectiveness, functionality, and usability.

Deployment

This finishes the waterfall model’s final phase. The system will be ready for

deployment after passing each phase. To deploy the web-based system, purchase a

hosting provider that meets the requirements. Upload the files and database to a hosting

provider allowing users to access the web-based system. Users can then interact with the

web-based system by clicking on links or enter the domain name in the search engine bar

and it requires an internet connection to access the web-based system. The researchers

conduct a discussion about the system’s functionality. To assist the users in using the

system, the researchers will then produce a system user guide manual and explain its

guidelines and operations.
