Chapter 01: Introduction
What is Management Information Systems?
Management Information System (MIS) is a broad term that refers to the use of technology,
people, and processes to support organizational decision-making, operations, and management.
MIS involves the development, implementation, and maintenance of computer-based systems
that provide managers with timely and accurate information for planning, organizing, directing,
and controlling their organizations. The information provided by MIS can help managers make
better decisions by providing relevant and accurate data that can be used to evaluate
performance, identify problems, and explore opportunities for growth and development. In this
way, MIS plays a vital role in the success of modern organizations, as it helps to streamline
operations, reduce costs, and improve overall efficiency and effectiveness.

student services, and academic operations. Implementing an MIS in the University of Dhaka
can help to address these challenges and enable the university to achieve its full potential. This
report will explore the potential benefits of implementing an MIS in the University of Dhaka,
as well as the challenges that must be overcome to make this dream a reality.
Implementing MIS in the University of Dhaka can be a complex and challenging process that
requires careful planning, investment, and coordination. Some of the key challenges that the
university may face in implementing an MIS are as follows:
4. Integration with existing systems: The MIS needs to be integrated with existing
university systems, such as student information systems, library systems, and financial
systems. This can be a complex and time-consuming process, especially if the existing
systems are outdated or incompatible with the new technology.
5. Data security and privacy: An MIS contains sensitive data, including student records,
financial information, and personal data. Ensuring the security and privacy of this data
is critical, and the university will need to invest in appropriate security measures and
policies to protect this information.
6. Maintenance and support: Implementing an MIS is only the first step. The university
will also need to invest in ongoing maintenance and support to ensure that the system
remains functional and up-to-date. This can be a significant ongoing expense for the
university.

Chapter 02: Planning for MIS Implementations
gathering, organizing, and storing student data but also processing and analyzing it and
generating various reports from it. It is a major software solution that helps with everything
from admissions to student success. There are mainly 4 stages in the implementation of MIS
in a University. Which are-
8
2.1 Implementing Educational Credentials and Grade Equivalency System
Current Scenario: Currently, the University of Dhaka follows its own grading system, which
may not be comparable to other universities in Bangladesh or around the world. This creates
problems for students and faculty members when seeking to transfer credits or when applying
for further studies or jobs in other countries. Moreover, the lack of a standardized educational
credential system makes it difficult for employers to evaluate the qualifications of candidates
applying for jobs.
Possible Solutions: One possible solution to address this issue is to adopt a standardized
educational credential and grade equivalency system that is recognized both nationally and
internationally. This system would provide a clear and transparent way of assessing the
academic achievements of students at the University of Dhaka and would allow them to
compete on a level playing field with other students from different institutions.
One such system is the Global Credential Evaluators (GCE) system, which is recognized by
many universities and employers around the world. The GCE system uses a comprehensive
methodology to evaluate academic credentials, including transcripts, diplomas, and
certificates. It also provides a detailed evaluation report that includes a grade equivalency table
that compares the grades earned by the student with the grades earned by students in other
countries.
Another possible solution is to establish a centralized office within the University of Dhaka
that is responsible for evaluating academic credentials and providing grade equivalency
assessments. This office could work in collaboration with other universities and employers to
ensure that the system is recognized nationally and internationally. Additionally, the office
could work closely with academic departments to ensure that the grading system used by the
University of Dhaka is comparable to other universities.
9
domestically and internationally, by demonstrating its commitment to providing a high-quality
education that is recognized and valued by employers and other universities.

This is the overall process of Dhaka University Admission. Management information system
makes it easier and hassle free for the students as well as the university administration to make
online based admission every year. Central library book searching & circulation process The
Dhaka University Library is the central library of the University of Dhaka. It has a collection
of sixty-eight million (680,000) books and journals. MIS implantation in the central library
makes it easy for the student to find the specific books they needed by searching in the
computers in the library. There they can search out their required material. If the material is
available in the library, then it will be shown.
11
Users required material searching interface
➢ Automated circulation
Dhaka university central library circulation section performs issue, renewal, return of books
using LibSys software. In the recent year’s automated process have been used in the circulation
section in the central library for book issue and returning process for users including teachers,
researchers and students.
12
2.4 Implementing Automation Software to Connect Students Online
Another one MIS implementation in Dhaka University is launching automation software to
connect students online. By using this software, the students of the university is able to
complete all the activities, including filling up examination forms online and collecting the
examination admit cards. Each student has a separate profile on the site where their personal
information is stored. Students can also share their problems with the varsity authorities and
get them resolved. For getting all of the above facilities students first have to login in the
website namely https://eco.du.ac.bd.
13
Systems that yet not exist but should be:
1. Design & implementation of an online library and management
System Online library is an essential source to obtain knowledge and gather essential
information for both faculty members and students. Since it can include text, images, audio,
video, digital document and other library accessible through the internet, students can easily
obtain information for their research papers, tasks, assignments or reports. So, if there is a
digital library or online library in Dhaka University, students will be befitted greatly.
❖ There is no physical boundary in online library. The user of such library need not go to the
library physically but they can gain access to the same information as long as the internet
connection is available.
❖ Multiple numbers of students or teachers can use the same resources at the same time etc.

14
Since there is no digital library exists in Dhaka University in which students can easily get
access in the online books anywhere anytime beyond physical boundary, university
administration should pay attention to provide such facility to students and faculty members.
A central repository is a single storage location for all data within an organization. This model
is utilized to create a single source of truth, providing significant benefits to visibility,
collaboration, and consistency within data management. The central repository model
promotes innovation and the evolution of organizations.
Stakeholders
Four types of stakeholders will be included in the management department. They are:
15
Connected with a Single Repository System
In recent years, the university has introduced several new initiatives to facilitate transportation
for students and faculty members. One of the most cost-effective systems has been introduced:
Jobike, or bicycle sharing programs, to encourage students and faculty members to use bicycles
as a mode of transportation. The program provides bicycles for rent at various locations within
the campus using a barcode system.
16
It provides a web-based management information system (MIS) called DU MIS to its students,
where they can get information about their Lal bus routes and also find out the distance between
their current location and their destination.
To access the Lal bus route information, students can log in to the DU MIS system using their
student ID and password. Once logged in, they can navigate to the transportation section of the
portal, where they will find a list of available bus routes along with detailed information about
each route, including the pickup and drop-off points, schedule, and other relevant details.
Students can see where the University Lal bus is on Google Maps even when it’s not moving.
This is because Google Maps uses real-time traffic with colored lines on the map and uses GPS
tracking to determine the location of the bus at any given time.

Academic Administration
Student Service
Support
Activities Human Resource
Campus Infrastructure
There are mainly eight stakeholders who are closely related to the primary activities and
support activities of the universities. They are:
2. Faculty 6. Employees
3. Community 7. University.
4. Industry
The core excellence of the university is how effectively it offers product and services to satisfy
stakeholders.
b. On-line and real-time information access through the internet so that stakeholders can get
easy access to obtain complete information in accordance with their needs.
18
Chapter 04:
Feasibility of Implementing MIS at the University of Dhaka
Students nowadays are more comfortable with online activities than offline work. On the other
hand, the previous generation people who are mainly employed in the organization at present
sometimes get confused with all these steps they have to follow to complete a simple task
online. The feasibilities of implementing MIS in the University of Dhaka are discussed below:
• The lack of interdependence among departments lead to poor strategic planning and
inappropriate information system.
• The huge cost of purchasing the software and hardware for the implementation of MIS
can be a real challenge for the university authority
• Since already the examination process of FBS (faculty of business studies) has gone
online, there is a huge opportunity to expand more operations of business faculty based
on that system.
• Data Storage - MIS collects and stores data for future use.
19
• Data Retrieval - With the help of MIS important data could be retrieved at any time for
information which was a time-consuming process before.
• Data Propagation Data should be sorted and distributed systematically for its users of
organizational users.
• Managing the functions of management in an effective way that helps to take more
useful decisions for organizations.
• An MIS's goals are to incorporate the company's organizational structure and processes
to better control the enterprise and maximize the information system's potential for
competitive advantage.
• Graphical reports -MIS provides crystal clear graphical reports of the company that
helps the administration to have a sheer idea about the different resources employed in
the organization and their performances.
Students
Students are the main driving force of an educational institution. The main purpose of
universities is to ensure quality education. So, it’s the first priority of the university to ensure
the satisfaction of students. Therefore, students are the main stakeholder in the university.
Teachers
20
Teachers and faculty members are the internal stakeholders. They regulate the students’
academic curriculum, what the students will learn or not, and teachers directly interact with
pupils and share knowledge. The success of the university is directly connected with job
security and status. Thus, teachers are great stakeholders in the university.
Alumni
As alumni members collaborate with the university and come to a great extent of help, more
alumni should be encouraged to join the institution this will make goodwill to the university.
Support from the alumni members will boost the advancement of the institution.
Government
Though the University of Dhaka is autonomous still as the government is the central power
controlling authority, the university is bound to abide by the law of government. The University
of Dhaka is legally liable to give basic rights to citizens like education as well as there is some
social obligation so the university authority must work harmoniously with the government and
the ministries and agencies that deal with the education sector.
Community
University staffs play a vital role from implementing MIS to managing the whole organization.
The whole effectiveness of the organization depends on how well the staff and employees can
perform their duties. etc.
Implementation of MIS comprises four main parts, these are new system installation; cutting
of the old system, adjusting with the new system; and parallel functioning with the new and
prevailing one. Organizations need people, software, hardware, data, and procedure to make
the information system work. As a result, the universities distribute these works among groups
and form implementation teams.
21
The formation of the implementation team is given below:
First, the objectives of these teams have to be identified. Which team is working on what
operations, what are their main goals, etc.
After identifying the objectives, the organization has to provide the particular roles and
responsibilities for each team. Some of the most significant roles for an MIS implementation
in a university could be project manager, it manager, functional analyst, data analyst, training
coordinator, etc.
Selecting team members is a crucial decision if the organization put a software developer who
has no idea about management in a project managing team rather than a software developing
team could lead to an unsuccessful project.
Communication protocols ensure synchronization among teams and teams work faster as they
have a better understanding of other teams’ level of progress.
The most vital part to remember while developing a project plan is to satisfy the stakeholders.
So, the organization has to develop a project plan that benefits the whole institution as well as
the related parties of it like for a university a project could be developed for students’ welfare.
22
Allocation of resources
• Financial resources
Financial resources are limited for every organization so allocating the resource to MIS is
tricky. First the university analyses the benefits and returns of the project like investing in
software and website Porisheba, institutional mailing address, etc. These websites and software
make the exam and admission process easier which reduces time wastage that has monetary
value.
• Physical resources
Physical resources like hardware (computers, printing machines, etc.) have to be provided to
the departments by administration authority to access these websites and software. The
Department of Management has a computer library that is open to its student.
• Human resource
Qualified employees have to be hired by university authorities who are experts in information
technology so that the staff can understand the system better and work faster in the current
system. The existing employees that are not comfortable with new technology have to be
trained to operate these functions of software, hardware, and website.
• Information resources
The most challenging part of the implementation of MIS is converting the existing manual data
into online data. The register office where all the information is stored has to provide past data
and information to the MIS team.
23
Chapter 05: Developing the MIS
Software Choosing a reliable and scalable software platform is necessary for developing an
MIS system. Some commonly used software platform development including Java, Python,
PHP and. Net. The choice of programming language may depend on the skilled expertise team
and the specific needs of the University students.
Database management system (DBMS) the DBMS is the backbone of any MIS system
because of Its data storage of all info about university like students’ history or university
history, or semester history. Some popular DBMS options including Oracle, MySQL, SQL
server etc.
Hardware requirements depend on the scale of operations and the number of users
accessibility. Every Department can download the server class machine with a high-
performance processor, Sufficient Ram and storage space that will depend on the expected load
and the availability of resources in the University of Dhaka. Installing computer, desktop for
individual students making them more productive with knowledge of technology.
With low budget and cost effective and accessibility for remote students with this platform
without downloading or storing like Google cloud platform.
2. Designing the MIS team should have a thorough understanding of the institution’s
operation, workflows, data sources, and reporting needs.
Students information system the authority can use MIS that would likely works as a
centralized database to manage student records like demographic, academic, total course
enrolment and admission procedure with fees, CGPA, and personalized dashboard for students
and faculty members.
Financial management system tools for managing the institutions finances, such as
budgeting, accounting, procurement and payroll, students’ tuition fees, scholarships and other
financial transactions.
24
Human resources Management system a more productive components of DU for MIS is
a Human resources management system. This system would handle employee records,
attendance tracking, leave management, performance evaluations and recruitment processes.
Learning management system DU may also require a learning management system within
MIS to manage course content, assessments, online course creation, quizzes, decision boards
and communication between instructors and students etc.
3. Testing an MIS verification the system functions, meets the requirements of the
stakeholders and is free of errors or bugs
Functional testing involves in every component of the MIS to ensure that it performs the
functions it was designed for. For example, testing the student’s information as verification or
creating a new student record.
Integration testing how different components of MIS work together within online to online.
For example, testing the integration between the financial management system and the student
information system would involve verifying that admission fees and correctly recorded in both
systems.
Performance testing involves testing the speed, stability and reliability of the MIS. For
example, testing the learning management system might involve simulating high levels of
concurrent user activity to ensure that system can handle the load without crashing or slowing
down or server down. User acceptance and security testing is also involved.
4. Modified MIS DU can identify the areas of improvement gathering feedback from
stakeholders and administrators to identity the areas of improvement in the current MIS system.
This feedback could be gathered through surveys, focus groups or the Interviews and having
continuous improvement or retired outcomes.
25
Chapter 06: Maintaining the MIS: Best Practices for an Efficient
Management Information System
Data is the foundation of any MIS, and it is critical to have a reliable backup system in place.
This backup system should include both onsite and offsite data backups to ensure that the
organization's data remains safe and can be restored in case of any data loss. Regular data
backups also help to ensure that the MIS remains up-to-date and accurate.
MIS data is highly confidential and sensitive, and it is essential to have robust security
measures in place to protect against unauthorized access or data breaches. Access control
mechanisms, such as user authentication, password policies, and user roles and permissions,
can help to ensure that only authorized personnel can access the MIS. Additionally, regular
security audits can help to identify and address any vulnerabilities in the system.
An MIS must be capable of processing large amounts of data efficiently and accurately.
Regular monitoring of the system's performance can help to identify any bottlenecks or
performance issues that may impact the system's efficiency. Optimization measures, such as
database indexing, query optimization, and hardware upgrades, can help to improve the
system's performance and speed.
Like any other software, an MIS requires regular maintenance and updates to remain functional
and efficient. Regular maintenance tasks, such as database optimization, data archiving, and
log file management, can help to ensure that the system remains healthy and performs
26
optimally. Additionally, software updates and patches should be applied regularly to ensure
that the system remains secure and up-to-date.
An MIS is only effective if the users understand how to use it effectively. Therefore, it is
essential to provide regular user training and support to ensure that the users can use the system
to its fullest potential. Additionally, regular user feedback can help to identify any usability
issues or areas for improvement in the system.
In conclusion, maintaining an MIS is a critical task that requires regular attention and effort.
By implementing the best practices outlined in this article, an organization can ensure that its
MIS remains efficient, secure, and effective in providing valuable insights into various aspects
of the business. A well-maintained MIS can help an organization make informed decisions
based on real-time data, giving it a competitive edge in today's business environment.
This term-paper includes the implementation process of MIS in many sectors of University of
Dhaka as well as the advantages and disadvantages of the implemented system. Management
information system helps in planning to controlling using technology, people and management.
Developing website for alumni and students for better communication, improving e-library
facilities utilizing MIS, tracking the bus location and routes using GPS system, rating system
of certificates that measures the equivalency of certificates compared to international standard,
lastly making central repository system more efficient to store and preserve more data for future
activities of university. This term paper gives an overall picture of the entire management
information system of University of Dhaka.
Recommendations
University of Dhaka can boost their speed of daily official activities as well as its extra-
curricular activities by exploring the several wings of MIS. Some of these are:
• Making an archive for exam papers online where students can check their exam paper
by login into an account that will be linked to the central repository system.
• Arranging the software and hardware for recording and storing the lectures of the
teachers to provide students the recorded version of the lecture if they miss any class.
27
• An online routine updater that will automatically update the routine if any class is
cancelled or any teacher wishes to take extra classes for specific batch and section.
• Developing software for booking exam halls. Besides, this recommendation there are
also other opportunities that could be created by MIS since it is power-house for ideas
and makes the existing process of people’s day to day easier by providing efficient and
time saving methods. The university authority can enjoy the benefit of MIS by making
it a part of the management process along implementing it in various areas of university
operation.
Input data from register building which stores all the student data of current and ex-students
virtually in the website. So, the website has to be linked with register building. Each of the
students will be given a unique username and they can log into the website and avail the
information about alumni along with the alumni member details. The website will be an
interactive website. The website will be linked to the official website of University of Dhaka.
It will suggest more relevant information according to the searching contents of the students.
Challenges
The main challenge for implementing this idea will be inputting this huge amount of data on
the website.
It is a time-consuming process.
Benefits
The website will make the connection of alumni and university stronger.
The website can save time of its users as they do not have search different websites to get
information about alumni members.
Any notice will be directly published in the website so students can easily have the
information about scholarship, research etc. from home.
