Introduction & Objective to the project

1.1 Introduction
The project entitled here as Mahindra E-System Express is a software program being developed by Mausam Kumar under the guidance of My favorite teacher & mentor Mr. Gunjan Kumar Singh, who is an MCA from IGNOU. The Software being developed will be

used to store stock detail of three wheeler(3-wh) and their spare parts as receiving the vehicle by CNF from patna & Spare parts by company or factory CNF from Zahirabad, Nasik. The stock maintained here will be automatically debited when the sale counter will sale the product. The vehicle stock is debited when vehicle sold by slaes dept. and spare parts debited when it sold in service or any other customer through the counter and other dept. This system will also maintain the customer details, Vehicle details, Sales record of vehicle, Spare sales record, vehicle servicing details, Daily transaction, daily stock status, vehicle status and other related management reports. This Software is being developed for A.B.Sons &

Automobiles, Which is the Dealer of one of the top line Vehicle manufacturer of the world Mahindra & Mahindra Pvt. Ltd 3-Wheeler Automotive sectors. This unit is in operation in Bhagalpur since 2007.

The average Yearly sales vehicle is about 300 auto. And the target for 2011-12 is 500 vehicle. The retails outlet is a well established shop with its own Service station in Industrial area and sales shop is establish in Sabour road, Rani talab near Mount ACC senior section. The service station is well equipped with modern equipment and tools. Apart from Vehicle Sales point and service station, this distributor has a spare sales point used for servicing purpose. This dealer has 2 outlet one is in Banka and another in establish in munger. This office sales bulk spare parts and vehicle to other co-retailer and dealer in Purnea, Kahalgaon, Banka and other near by town ship where Mahindra dealer not available or if any dealer demand or request the vehicle for sales those customer or directly send to that dealer on few benefit transfer the vehicle from stock to other dealer stock. This time dealer proposed to open its own outlet in Kahalgaon for those customers who not comes at Bhagalpur because more distance. Time to time its provide the Road Show for advertise and growth for market. In This Dealers Stock There are many type of Auto. 1. 2. 3. 4. 1.2 Objective
The primary object of this Software being developed is to automate the working of Mahindra sales & Service station. And to store all the data day by day transaction into computer oriented database management system so that the required report can easily be fetched accordingly requirement. However the important objectives are listed below: To maintain booking status from customer to which the bike or other product is not delivered. To maintain daily stock or inventory of vehicle(3-Wheeler). To maintain daily stocks of spare parts. To Store customer details and their contact details To store the expected time or vehicle of customer choice. To Store the Customer Financial S/he purchase vehicle cash/ credit/ finance or any other mode. To maintain order status for vehicle or spare parts from the mahindra office as per the status of stock. To prepare Invoice for vehicle. To prepare bills for spare parts To generate the following reports as and when its required:i. Stock status of vehicle

ii. Booking status of vehicle. iii. Order status of vehicle iv. Stock status of spare parts v. Booking status of spare parts vi. Order status of spare parts vii. Advance of customer viii. Daily transaction report ix. Hot list for customer x. Follow up date of hot listed customer xi. Sales return report for spare xii. Purchase return for spare xiii. Purchase return for vehicle xiv. Daily expense xv. Weekly progressive report xvi. Monthly progressive report xvii. Annual Balance shee. xviii. Executive monthly target status And more report as we want related to stock and vehicle status.

3. Tools / Platform, Hardware and Software Requirement specifications


Hardware Requirements: PROCESSOR RAM DISK SPACE : : : Pentium III OR HIGHER 32 MB OR HIGHER AT LEAST 25 MB FREE.

Software Requirements: OPERATING SYSTEM FRONT END /GUI Tools RDBMS/BACK END ODBC DRIVER : : : WINDOWS XP/ WINDOWS 7 VISUAL BASIC

ORACLE 8i : (I) MICROSOFT ODBC FOR ORACLE (II) ORACLE ODBC DRIVER

Reasons for choosing Visual Basic as Front End


Visual Basic is a windows application development tools which has the following features: [1] GUI based application: Non-technical people can

understand his/her application easily when it is graphically designed. All operations given therein for completing a job must be self-explanatory. Visual Basic allows creating a well designed GUI package for any type of real life problems. [2] Rapid Application development (RAD) tool :- A programmer can build a real life application in a short period which may take much more time to develop in other Programming environment. [3] Supports features of Object-Oriented technology: - Visual Basic Supports some features of Object oriented technology such Data hiding, Data encapsulation, Data

abstraction etc. which makes an application error free and easy to create. [4] Connectivity from other data sources:-Visual Basic s

application can be connected to any other database created on other DBMS/RDBMS SQL SERVER, package EXCEL, such as ACCESS, DB2,

ORACLE,

FOXPRO,

PARADOX etc.

Makes standalone packages:- Visual Basic has facilities to make standalone package, i.e., the package which can run on any hardware platform with no or minor modifications.

The above features of Visual Basic make us to choose it as a front end for this project.

Reasons for choosing Oracle 8i as Back End


Oracle 8i is an RDBMS package developed by Oracle Corporation. This RDBMS package can manage any type of data in a well designed manner. The following are some features of Oracle 8i, due to which we choose it as back end for this project: [1] Platform Independent:- Oracles database is said to be platform independent, i.e., the database created on a machine can be access to any other machine. [2] Client-Server Architecture:- It is good to store data on server and provide facilities to access data with restricted permission to the client. This feature can be easily deployed to Oracles database. [3] Data Security features: - Oracle 8s database is a secure database. No one can view/edit data base without prior permission. Apart from these features Visual Basics application supports strong set of predefined modules to connect such a good RDBMS database.

5. ANALYSIS
(I) Preliminary Investigation: I, with my Guide, visited to the office cum workshop of Mahindra dealership A. B. Sons & Automobiles office & their service station for investigating the working of the sales office and their workshop which is called service station. The following are the list of manual registers with their uses which make used in the workshop and their Sales point.
(a)

Stock Register of vehicle :This register contains vehicle stock status. How many vehicle in our stock. Day by day maintain this book for updating the stock.

(b) Stock Register of Spare parts :This register contains Spare stock status. How many spare in our stock. Day by day maintain this book for updating the stock after sales or purchase the spare from market or company. (c)Vehicle booking register :In this register booking status of customer. Advance payment of customer maintained. (d) Order book of vehicle register In this register contained ordered for vehicle which is demanded by the customer, outlet, and other dealer. (e) Order book of spare parts In this register contained ordered for spare which is demanded by the customer, outlet, and other dealer.

(f) Daily servicing register This register contain the details of daily servicing report for those which vehicle comes for servicing, their entry date and time and departure date and time. (g) Daily spare sales register In this register sales spare detail is maintained daily. (h) Daily vehicle sales register In this register sales vehicle details is maintained daily. (i) Money receipt This register contains the details of receiving payment for spare sold, vehicle sold and any other types of payment received by the office. (j) Daily collection register(DCR) (k)Staff attendance register In this register maintained the report of attendance of employee daily basis. (l) Salary register In this register salary detail of all employee is maintained. Paid or advance salary (m) Expense register This register contains the daily expense which is made up for office and workshop.

After computerization the system at A.B.Sons & Automobiles will be distributed into 3 various and dinstrinct section. The first section is

Sales Section where the system (Network based terminal) will store the details of Vehicle booking status, Vehicle ordering, Daily

Transaction and other related jobs of the sales section. The data will be stored at the main Server and the sales section can access its related data. The second section is Spare section and the computer system inside this section will store the inventory (Stock) of the Spare parts. The stock can be incremented with new purchases as per the order book and debited after sales of spare parts to servicing section and retailers. This section will have separate modules for making payments / Delivery challans/ Receiving challans. Other modules are related to day by day transactions and interrelated reports. The Service section is the third and last section of the organisation and it is the most critical section. This sections computer will need to retrieve details about the available and legible spare parts, The details of servicing types(Free/Paid), Labour charges along with available labour capacity, leath works, outsource works needs to be updated very frequently so that the bills for servicing can be

prepared. The computer will store all the above set of details to the

main server computer and can generate reports accordingly as per requirement.
