TAKING TABLE RESERVATION

(Answer the phone promptly, introduce yourself and ask the name of the caller properly)

F&B Staff: Good morning, thank you for calling (name of the restaurant), this is _________, may I know
who is on the line, please?

Caller/Guest: Hi this is _______, I am calling to make table reservation.

(Use the name of the guest appropriately, determine the number of guests, reservation date and time of
arrival) If the caller is making the reservation for another person, ask for the name and the contact
information of the guest who will be checking in and the person making the reservation. Record the
details of the reservation on the reservation log.

F&B Staff: Hi Ms. Karen, for when is this reservation?

Caller/Guest: On __________.

F&B Staff: Will this reservation be under your name?

Caller/Guest: No, I am calling on behalf of my boss, Mr. ________.

F&B Staff: At what time should we expect Mr. _____ arrival, is this for lunch or dinner?

Caller/Guest: He will be there at around _____ In the afternoon.

F&B Staff: Well, noted Ma’am, this reservation is for Mr. ______, can we get his contact details.

(Recap the details of the reservation to the caller. Take note of any additional requests. Conclude the call
properly. Follow up to confirm the reservation)

F&B Staff: Let me just repeat the details of this reservation. You have reserved a table for two on
____(date)__ at 3 in the afternoon. Would there be any other requests Ma’am?

Caller/Guest: None anymore. Thank you.

F&B Staff: Thank you for calling Ms. _______. I’ll call you back to confirm this reservation. Have a nice
day!
