DATA ANALYSIS
CHAPTER 5.0 EXCEL SORTING

RANGES can be sorted using the Sort Ascending and Sort Descending commands.
SORT ASCENDING: from smallest to largest
SORT DESCENDING: from largest to smallest
The sort commands works for text too, USING A-Z order.

CHAPTER 5.1 EXCEL FILTER

FILTERS can be applied to sort or hide data. It makes data analysis easier.
APPLYING FILTERS. Filters are applied by selecting a range and clicking the Filter command.
FILTER OPTIONS. The filter options allow for sorting and filtering.

CHAPTER 5.2 EXCEL TABLES

Table.
Ranges can be converted into tables
Tables make it easier to structure and organize data.
Tables connect cells in a range and put it into a fixed structure.
The cells in the table range share the same formatting.

Tables allow for options such as:


• Sort and Filter
• Formatting
• Auto Filling

CHAPTER 5.3 CONDITIONAL FORMATTING

CONDITIONAL FORMATTING is used to change the appearance of cells in a range based on your
specified conditions.
The conditions are rules based on specified numerical values or matching text.

CHAPTER 5.4 HIGHLIGHT CELL RULES

Highlight cell rules is a premade type of conditional formatting in Excel used to change the
appearance of cells in a range based on your specified conditions.

Appearance Options
The web browser version of excel offers following appearance options for conditionally formatted
cells.

• Light Red Fill with Dark Red Text • Light Red Fill
• Yellow Fill with Dark Yellow Text • Red Text
• Green Fill with Dark Green Text • Red Border
CHAPTER 5.5 EXCEL DATA BARS

DATA BARS are premade types of conditional formatting in Excel used to add colored bars to cells in
a range to indicate how large the cell values are compared to other values.

Note. The size of the data bars depends on the smallest and largest cell value in the range.

CHAPTER 5.6 EXCEL SCALES

Color Scales are premade types of conditional formatting in Excel used to highlight cells in range to
indicate how large the cell values are compared to the other values in the range.

CHAPTER 5.7 EXCEL MANAGE RULES

Conditional Formatting rules can be managed and removed using the Clear Rules and Manage
Rules features.

You can remove all the rules from a selected range of cells or from the entire spreadsheet using the
CLEAR RULES menu options.

Use can use the MANAGE RULES menu option to clear conditional formatting rules.

CHAPTER 5.8 EXCEL CHARTS

Charts are visual representations of data used to make more understandable.

Commonly used charts are:


• Pie Chart
• Column Chart
• Line Chart

Bar Chart – Shows data as vertical bars


Column Chart – Shows data as vertical bars
- Are suited for representing values of qualitative (categorical) data.
Pie Chart – Arrange the data as slices in a circle. Used for representing values of qualitative
(categories) data.
Line Chart – shows data as a continuous line.
- Typical used for showing trends overtime.
- The horizontal axis typically represents time.
- Used with data which can be placed in an order, from low to high.

Different charts are used for different types of data.

Note. Charts are also called graphs and visualizations. See icons in module.
