2023 COMPLIANCE TRAINING

1. Why is it March 21, 2023, instead of April 1, 2023?

This is to ensure that our end-of-month new hires are given the appropriate grace period to take the current trainings
without them having to take the security trainings twice in a short amount of time.

• They were hired during the adjustment period and are already considered New Hires for 2023 Security Fiscal Cycle
• They will be assigned (and must complete) the 2023 TP Compliance for New Hires V2
• If they were able to complete the 2022 NH + Vishing version prior to the V2 launch, our team will manually tag them
as complete in the 2023 NH course level
• The team will NOT MANUAL TAG the Privacy + Compliance courses as they should carry over

2. Does this mean the Fiscal Cycle runs from March 21 – March 31, 2024?

No, the Fiscal Cycle is still spanning from April 1, 2023, until March 31, 2024 as per policy and controls. This adjustment
period is to soothe the need for taking Security Trainings twice in a short span of time.

3. I have New Hires who joined just a few days before the adjusted date, what should they take?

OFFICIALLY, they should take the 2022 NEW HIRE TRAINING + VISHING and immediately prepare for 2023 ANNUAL
REFRESHER assignment.

2.6. New hires are not required to take the Annual Security Refreshes Course in the same
training year that they passed the News Hire Security Training.

Since these hires only have a few days to complete the New Hire Training assigned to them before they transition into an Existing
employee, they must complete the 2022 NH training on time and complete the Annual Refresher anytime within the new cycle
period. Else, they will be assigned to both 2023 New Hire and Existing Certification Builds V2 and must complete both.

4. I have an Existing Employee who just took the Annual Refresher during the adjustment period
as a last-minute taker. Will they be also manual tagged for the 2023 version?

No, the adjustment period is aimed at New Hires only. Non-Compliance for the 2022 Security Cycle for existing employees
will be discussed with you by your respective Security POCs and Managers.

5. I still have Employees in my Subsidiary who are not assigned. Why is it so?

We will need to check the CCMS information they have and ensure it is up-to-date. We must ensure that there is no conflicting
information such as having a start date of before 2023 but is still tagged as Candidate or others that we shared prior.

6. I have Employees existing in my Subsidiary but is from another Country. Can they be exempt?

Yes, depending on the nature of the profile (Cloud Campus Beyond-Borders, Employment/Payroll purposes/etc.) We can
exempt them from the assignment rules.

7. Is it possible to still launch the V1 of the 2023 TP Compliance Certifications

Yes, but we highly discourage from doing so. For those who have achieved an Acquired status in V1, it will remain in their
Learning Plans under Completed Courses. They can still relaunch the courses in that version for review, but it will have no
bearing on current completion especially if there are courses which are replaced in V2 (like NH or Annual Refresher or
Vishing) which would already be discontinued.

8. Are we going to see more versions like a V3 or V4, so on?

It will depend on the Annual Compliance requirements we will have for 2023. Like for Harassment as an example, it is
expected to launch with V3 as it is still pending review and finalization.

9. Are FACILITIES now included in the assignment?

Yes. We have sent a communications blast to everyone (3/3/2023) echoing the need for our Facilities/Workforce Members (definition
below) to take the Security Trainings even if they do not have access to MyTP or Computers/Laptops.

Workforce Members – Individuals that perform work for the company either directly or indirectly, such as, but not limited to, the
employees, contractual personnel, and vendors.
In instances where a Workforce Member such as facilities does not have CCMS access, then the subsidiary will carry out a security
training for that team.

If a subsidiary chose not to conduct security training to these teams, then an exception must be submitted.

10. What about REHIRES? Are there any differences in the process?

No, our rehire process remains to be the same for 2023 NH and Annual Refresher.

We have automated most of the requests for rehire enrollment (recently for TP Portugal and TP Russia), but it should be
the same for everyone globally wherein Rehires must have a new start date.

11. I have REHIRES who have completed the Certification/Courses during the same cycle?
What should I do?

Like before, we still need your help in identifying those who are rehires of the same Fiscal Cycle since MyTP Learning keeps
their previous completion.
It is important that we have them RETAKE the training.

The steps below could be helpful in producing a new, much recent completion date:
1. Go the course’ page in MyTP
2. Look for the “LAUNCH” button
3. Select “RETAKE”

The Completed on field should update

LOGIN

I tried to log in to MyTP but I’m getting the “Oops” error message. What do I do?

1. If you are using a new Teleperformance ID (i.e., doe.123@apac.teleperformance.com), please visit https://mytp.ontp.app

2. Use your login name (doe.123@apac.teleperformance.com) Your password should be the same as your CCMS

3. When you log in, the system may prompt you to authenticate your account. Please refer to Teleperformance ID - Setting up
your MFA - USA PH CAN - PDF (link) to ensure MFA is configured. This process will sync your account immediately, and you will
be directed to the mytp.ontp.app homepage.

4. Clear your browser's cache and cookies, then try again.

5. Use your browser's Incognito/Private mode and try again.

I was able to log on to the landing page (https://mytp.ontp.app) but I’m still getting the
Oops error error message when I click on MyTP Learning, what should I do now?

1. Clear browsing data (i.e history, cache and cookies) and the time range should be “All time”.
2. Use browser's Incognito/Private mode
3. Try logging in on a different workstation or computer
4. If you have followed all the above steps and is still unable to access MYTP Learning, please create a ticket via the Service Desk
platform under the category " Enterprise.Software.myTP Platform.Unable to Login". If you don't have access to the Service Desk
platform, you may coordinate to your local IT or local POC

I’m getting an “Access Denied” error message, what do I do?

Access Denied error is a possible local network issue or IP whitelisting.


We recommend contacting your local IT to check hinders you to access MyTP

How to create a Prescriptive Rule?

1. Navigate to Admin> People > Rules Engine > Manage Rules.


2. Click New Prescriptive Rule.
3. In the Rule Details step, define the prescriptive rule details, including the scheduling information.
4. Note: You can save the information entered and exit from the wizard mode by clicking the Save & Finish Later button. You can
complete the prescriptive rule creation process later by searching for the saved prescriptive rule and then editing it.
5. Click the Member Selection button to select members for the prescriptive rule.
6. Set Requirements button to add requirements to the prescriptive rule.

How to create a Smart List?

To create a Smart List:


1. Navigate to Admin > People > Manage Smart Lists > Smart List.
2. Specify the following details:
a) Name (Smart List name)
b) Description (A description of the Smart List that will describe the criteria)
c) Domain (Anyone in the specified domain can see this Smart List. Setting the domain ensures security control over the Smart
List. A Smart List domain can be inherited from Prescriptive Rules, Audience Type, Group, or Security Role, depending on the
context in which they are created. For example, if you create a Smart List within an Audience Type, its domain would be inherited

How to view enrollments of users?

1. Click People tab.


2. Click Manage People > Enrollments. The Enrollment page appears.
3. Enter your search criteria for the user and click Search.
4. Click the Enrollments under Profile Quicklinks. The Enrollment page for the user appears.

How to drop an enrollment for a learner?

You can drop an enrollment from a learner's plan only if the enrollment status is 'Registered'; that is, only if the learner has
registered for the class. If the learner has not yet registered for the class and the enrollment status is 'Pending Registration',
then you cannot drop the enrollment, but simply remove the enrollment from the learner's plan.

How to view completed courses of learners?

To view completed courses of people:


1. Click the People tab.
2. Click Manage People > Completed Courses.
3. The Completed Courses page appears.
4. Enter your search criteria to search for the user and click Search.
5. Click the View Completed Course link of the required learner.
6. The Completed Course page for the learner appears. This page does not include recurring courses that are completed. To
view recurring courses for learners, navigate to Manage People > Recurring Courses.

How do I gain access to create Groups & Workspaces?

To create Group & Workspaces, you must be granted specific permissions and must go through approval process below.
1. Users create their workspace/group on Sandbox.
2. Once created, the admin needs to send the details using the Social Request form below. to global team through
elearningSupport@telepeformance.com
3. Global L&D PMs will review the sandbox and the file, which functions have been enabled or want to enable.
4. If we see free text enabled for example “Comment wall in groups” or “Pages in workspaces” we need:
• Business justification for why comments enabled.
• Who is going to get access to it, if agents, then local privacy officer approval is needed.
• If above agent level or not, they need to provide how they are going to manage the comments and who is going to be person
monitoring it.
5. Once approved, we will give access to production to create workspaces.

How to create a Workspace?

How to Translate the Workspace to different language?

A workspace or page is initially created in the system's default locale, i.e., English, even when a user is logged in with a
non-English locale. Once the workspace or a page is created for the English locale, users with the edit privileges for the
workspace or page can create a locale-specific version by clicking the Edit button for a workspace or a page

To localize an existing workspace:


1. In the workspace home page, click Edit Workspace button.
Note: You must be the owner, co-owner, or editor of the workspace to be able to edit it.
2. In the Locale drop-down list, select a desired locale.
3. Translate the related fields for the workspace as necessary.
4. Click Save. The localized version of the Workspace is displayed to users who log in with that locale.

Is it possible to limit who has access to the Workspace?

You can set up a Group with all the users who are allowed to access the Workspace if you wish to keep the Workspace private
or limited to certain roles/users.

How to create a Group?

Once you have the gained access to create Groups.

1. Navigate to Groups.

2. In the Action box,


• Click the New Group link.

• Click Save.

3. To add members to the Group, click the ADD MEMBERS in the Group Detail Information box.

• A smal pop up window will appear where you can add the usernames, then click Save.

What report should I use to track the number of views and


comments on my workspace?

To track the number of views and comments, we recommend using the Workspace-Pages Views - All reports template.

How do I make my Workspace accessible to other Subsidiaries?

If your workspace is intended to be viewed by other geos, it is important to add these users or criteria of users into a new
group, or an existing group.

Firstly, identify your intended audience by listing them down or providing a criterion:

Make my workspace viewable to all Supervisory/Admin Staff level of Client XYZ in TP Canada
• e.g., Include -> Client -> Any of -> Client XYZ
• e.g., Include -> Job/Career -> Position Code Group -> exactly matching -> Administrative Staff

Next, accomplish the Social Workspace Form and list down the user details in the GROUP tab.

IF YOUR WORKSPACE CONTAINS SENSITIVE CONTENT: Seek any Director approval if your workspace consists of sensitive
content such as Client or confidential information then send the approval and the accomplished form to
eLearningSupport@teleperformance.com for review and processing.

IF YOUR WORKSPACE DOES NOT HAVE SENSITIVE CONTENT: Send the completed Social Workspace Form to
eLearningSupport@teleperformance.com for review and processing.

Once processed, please verify with users from the other geo to check if they can now view the workspace.

I’d like to have access to LinkedIn courses, what should I do?

For any LinkedIn access request, please email Bob Williams (bob.williams@teleperformance.com)

I have LinkedIn license already but I’m getting the Insufficient Privileges error.

Once confirmed that user has license, please email

How to create an Audience Type?

The purpose of Audience Types is to restrict access to specific users when it is attached to a course. Please be mindful of
attaching these Audience Types to any courses as it may impact learner experience (please see Question - What should I do
if I can't find the course I'm supposed to take?
1. Click Learning > Manage Learning Catalog > Audience Types > New Audience Type
2. Then the New Audience Type page opens.
3. Specify the required information in the fields.
• Name - The name of the Audience Type
• Description - The brief description of the audience type.
• Pricing Precedence - Optional field
• Domain - the domain for the audience type which is usually your Domain.
4. Click the Save button. The application saves your changes.

IMPORTANT: Always ensure to limit your Audience Type to your domain only.
i.e. If you are from TPUSA, set a criteria to INCLUDE -> Profile -> Domain -> USA

Is it possible to assign a course to a user using the Assign Course function?

Using the Assign Course function will enroll all Teleperformance employees in the course, hence we strongly advise creating
a prescriptive rule instead. Since this function is not part of the MyTP Global Process, utilizing this function will result in your
admin access being revoked.

How to mark a class completion of the learner?


You can record results and grade for individual learners in a scheduled class. You can also mark class completion of selected
learners on the roster.

To record results and mark class completion of selected learners:


1. Navigate to the roster for the appropriate scheduled class. The class roster displays the class details and a list of learners
registered for the class.
2. Select the required learners by clicking the check boxes besides them.
3. For each selected learner, select the class completion status from the Completion status drop-down list.
Specify the Score and Grade for each selected learner.
4. Click the Save button on the roster. The system updates results and marks class completion of selected learner.

What's the process of sharing content to other domain?

If your subsidiary is needing to make some of your eLearning content accessible by other subsidiaries, you only need to
do the following:

1. Coordinate your request with your Subsidiary’s Director (Training/Engagement/HR/etc.) and ask for their APPROVAL.
2. If it's a client content, we need the client approval and security approval as well.
3. Send an e-mail to eLearningSupport@teleperformance.com

Email must contain the following details:


• The request for enabling the content to requested domain
• The attached approval of your Director
• The specific course(s) to be moved indicated by: NAME and its Course ID / Class ID
• Ensure your Audience Types are updated to accommodate this change

How to mark a class completion of the learner?

How to mark a class completion of the learner?

Rules for Images

• Use either JPEG (for all images) or PNG (for images in need of having a transparent background); image resolution be at 72dpi’s
(Quality is at Medium-High).
• Do not insert files into Captivate/Articulate if the file size is to large. Instead, insert a shape/object into the authoring tool with
your desired size, edit the properties of the photo to ensure the width and height matches the object/shape you have inserted, and
then import the image into the authoring tool.
Note: Articulate users can import the image, resize, export the image, and then reinsert the image.
Note: You can also use Paint or GIMP to resize the photos.
• For Captivate, If the image/graphic is static, merge it into the slide background.
• Never copy and paste an image into the authoring tool.

Rules for Audio Files

• Save your file in MP3 format


• Make sure the bit rate is at 192kbps
• Best tools: Adobe Audition or Audacity

Rules for Video Files

• Videos should be at 720x576 MP4 format (can compress a 24MB 3-minute video into 14MB)
• If videos are more than 5 minutes long, split the video into segments.
• You may use video compression tools or Freemake Video Converter (www.freemake.com).

Rules for Modules

• If your module has a duration of 15-minutes or longer, split it into segments.


• It not only decreases the file size and network latency but prevents information overload amongst learners.

How to disable or purge old content?

Purging content is a process of deleting files or data that are no longer needed in order to free up space on a
system's storage. This is often done to make room for new content and improve system performance. Click here
to know more how to purge content.

MOT TROUBLESHOOTING GUIDE

1. How to avoid assignment issues?

• Avoid changes to user profile that would disqualify them. Especially retroactive changes.
• Confirm with your onboarding POC that the assignment rule set matches the hiring practices of the subsidiary.

2. Should re-hires be assigned?

• All surveys are set to be assigned once. Rehires are assigned automatically if they were not assigned before they left. If they
were assigned before, no new assignments are required and does no affect compliance.
• This rule applies to each survey separately. One survey assignment does not affect the others.

3. Can anyone be reassigned a survey if they lost access?

Reassignment is not possible since the process are all managed automatically through MYTP.

The MOT onboarding surveys are standalone surveys, automatically assigned, and unassigned to new-hire at certain
points in their career.

I’m getting “(502) Insufficient Privileges: You do not have New privilege on Shared
Commitment” error when I try to submit my review, what should I do?

The error “(502) Insufficient Privileges: You do not have New privilege on Shared Commitment” occurs when the
Reviewee is in a different domain than the manager. To rectify the issue, please email
performance.management@teleperformance.com

As Performance Admin, how can I change the review owner of the reviewee on the review form?

Changing the review owner from People Admin > Reviews > search Reviewee > Select Cycle Name > Change
owner.

It is recommended to search using CCMS ID then username (as it might show you duplicated emails).
Ensure the new owner is correct by reviewing the title and job.
