General instructions
1. Binding : Soft bound (white colour)
2. Printing : Only on one side
3. Margin : left : 1. 5”

4. Font : Times New Roman
5. Font Size : 12pt.
6. Spacing : 1.5 lines
7. Paragraph : Justified (without tab space for first line)
8. Page number: Bottom right alinged. The preliminary pages are numbered in roman
numerals (i, ii, etc). The first page of the Chapter 1 onwards shall be numbered in Arabic
numerals (1, 2, 3, etc).
9. Header : Right aligned - title of seminar (10pt) with bottom line ½ thick.
10. Footer : Left aligned - (Department of Civil Engineering, CPTC, TVM(10
pt.)) with top line ½ thick.
• Formats shall be strictly followed. To get the font details, open the format in MS
word 2003 or above.
11. Sequence of contents
The material should be placed and bound in following order:

Tables and Figures shall be introduced at the appropriate places.
12. Acknowledgements
Acknowledgement is only a method to record the help and guidance received from
different persons. The wording shall be formal rather than flowery.

13. Abstract
Abstract shall be a one page synopsis of the seminar work.

14. Contents
The contents should list the chapter headings, sections and subsections of the different
chapters along with page numbers of each. The title ‘CONTENTS’ should be in caps,
bold, 14pt and centered.
15. Nomenclature
Listing of symbols and abbreviations shall be in the order : small, Caps, Greek letters.
Standard symbols and abbreviations shall be shown:
1.5 line spacing, 12 font size, Times New Roman.
16. List of figures and tables
It should indicate the number and captions of the figures and tables with page numbers.
The title ‘list of figures’ and ‘list of tables’ should be centered, bold, 14pt and in upper
case.
17. Numbering sections, subsections, equations, figures etc.
Suggested font sizes in report are given in the table below.

the paragraphs should be 6pt.
Use decimal numbering in the seminar report. If the chapter number is 2, the section
numbers will be 2.1, 2.2, 2.3 etc. The subsections in section 2.2 will be numbered as
2.2.1, 2.2.2 etc. Unless essential, it is not necessary to use numbers to lower levels than
three stages. Headings of paragraphs below the subsections may be bold faced and in
sentence case.
Similarly, it is useful and convenient to number the figures also chapter-wise. The figures
in chapter 4 will be numbered Fig. 4.1, Fig. 4.2 etc. This helps you in assembling the
figures and putting it in proper order. Similarly, the tables are also numbered as Table
4.1, Table 4.2 etc. All figures and tables should have proper captions. Usually the figure
captions are written below the figure and table title on top of the table without any space
between the fig./table and the text.
Heading of tables and figures should be 12 font size, Bold, Sentence case, Times New
Roman.
Number consecutively any equations that have to be displayed separately from the text.
Centralize the equations and right justify the equation numbers. For example, the first
equation in chapter 3 shall be written as:

18. References
References (Journals, Books and Conference Papers) shall be numbered in the order in
which they are referred to in the body of the report. They should be numbered as [1], [2],
[3] etc in the order in which they are referred to in the body of the report.
References to journal papers shall contain the Author(s), title of the paper, name of the
journal, volume number, issue number, particular pages (pp) and year of publication. If
there are more than three authors, it is enough to mention the name of the first author
followed by et.al
Conference papers shall mention the Author(s), title of the paper, name of the conference,
place where the conference was held, Date, month and year of the conference along with
the page numbers of the paper in Sthe proceedings of the conference.
References to books shall contain the Author(s), chapter title, title of the book, name of
the publisher, edition, year of publication and ISBN Number, if available.
For the listing of references in the ‘References’ section follow the conventions in
journals, as noted below.
Examples from ASCE referencing method is given below. Slight changes are made
in the formatting for a better appearance.
Journal References

Include the publisher of the proceedings, and that entity’s location—city and state or city and
country. Only include the sponsor of the conference if it is part of the title of proceedings. If
there is no “publisher”, then the name and location of the sponsor are required.

Books
Include author, book title, publisher, the publisher’s location, and chapter title and inclusive
page numbers (if a whole book is used, or pages here and there throughout, page numbers
need not be given). If no author is listed, alphabetize the entry by book title.

Reports
Same as for books, as above. For reports authored by institutions: spell out institution
acronym on first use, and follow with acronym in parentheses, if applicable. If subsequent
references were also authored by that same institution, use only the acronym. For reports
authored by persons, include the full institution name—no acronym—and its location.
Unpublished Material
Unpublished material is not included in the references but may be cited in the text as follows:
(John Smith, personal communication, May 16, 1983) or (J. Smith, unpublished internal
report, February 2003).
In Press Articles
As an exception to the “Unpublished Material” section above, in press articles (i.e., those that
have been accepted but have not yet been published) may be included in the references as
follows:
Dasgupta, G. (2008). “Stiffness Matrix from Isoparametric Closed Form Shape Functions
Using Exact Integration.” Journal of Aerospace Engineering, In press.
In press articles should be updated to include the actual publication information whenever
possible.
Web Pages
Include author, year of publication or last revision, title of “page,” title of the complete work,
Web address enclosed within angle brackets, and date in which the was material downloaded.
CD-ROM
Include authors, copyright date, titles, medium, producer/publisher and its location, and
section, chapter, and page numbers if available.
Liggett, J. A. et al. (1998). “Fluid Statics”, Fluid Mechanics (CD-ROM), ASCE, Reston, VA,

(Above example et al. is used as there are more than three authors)
Include authors, copyright date, title, and the name and location of the institution where the
research was conducted. Note that some institutions use specific terminology; for example,
"doctoral dissertation" rather than "Ph.D. thesis".
19. Number of Copies: 2 copies – One personal copy and one for the department. (Guide’s
copy is optional subjected to the guide’s choice)
20. Total number of pages : 25 to 30 (Not compulsory, just a guideline)
21. Submission : The rough copy of the seminar report in the above format,
duly signed by guide and HOD should be submitted to the coordinator at least Two days
in advance of their presentation. Submission date of the fair copy shall be intimated
later.
