ABSTRACT

As the name specifies “HOSTEL MANAGEMENT SYSTEM” is a project which is


developed for the management of several activities that happens in every hostel. These days there
are various educational institutions increasing for every day and these are followed by the
requirement of accommodation for students who wanted to study in these institutions. So there is
a lot of work to be done for a student to be joined in this hostel and in these contexts generally
there are no applications or any software developed. So our project is much helpful in these
contexts. This project is developed based on problems faced by the hostel management and
avoids many problems which are caused by man work which causes problems like incorrect data
entry and several other problems. By identifying these drawbacks caused by current technique
which interrelated for developing an automated and digitalized system known to be the hostel
management system which gives much more comfortable and compatible with the existing
system and this is the system which is more user friendly. The proposed system has superior
efficiency, and it surmounts the shortcomings of existing technique of hotel management system.
Also, it has few advantages while the system is generating such as providing high security,
avoiding data redundancy, data consistency, easy handling, stored record, data updating, less
laborious work and less human error.

1.INTRODUCTION

The Hostel Pro is a hostel management system that can provide a quick and convenient overview
of the available rooms and student details are essential for the smooth operation of a hostel.
Hostel Pro is highly useful for hostel authorities as it helps them efficiently manage various
aspects of the hostel, including room allocation, occupancy rates, student data, and much more.
The proposed hostel management system will include features such as room allocation,
managing room availability, managing student data, and generating reports. The system will
enable hostel staff to maintain an accurate and up-to-date record of students' details and room
availability. One of the key features of the hostel management system is the ability to view the
availability of rooms. The system will display a real-time view of the number of rooms available
and the number of students currently staying in the hostel. The system will also display a list of
vacant rooms, enabling the hostel staff to allocate rooms quickly and efficiently. The system will
also include a student database that contains details such as student names, contact details, course
details, and room allocation details. The system will enable the hostel staff to update and modify
student details as required, making it easier to manage student accommodation. To ensure the
security and privacy of student data, the hostel management system will be password-protected,
and only authorised users will have access to the system's features. In conclusion, the proposed
hostel management system offers a convenient and efficient way for educational institutions to
manage their hostels. The system's user-friendly interface, real-time updates, and report
generation features will help hostel staff to allocate rooms quickly, manage student details
accurately, and optimise the hostel's resources.

2.PROBLEM STATEMENT

The problem that a hostel management system aims to solve is the difficulty hostel authorities
face in managing room allocation and student data. Manual methods of managing hostel
operations can be time-consuming and error-prone, leading to inefficiencies and reduced
productivity. Hostel authorities often struggle to maintain accurate records of vacant rooms and
student details, resulting in confusion, delays, and potential safety risks for students. In addition,
managing the billing and payment process for hostel fees can be challenging, particularly when
dealing with large numbers of students. This can result in delayed payments, missed deadlines,
and other complications that affect hostel operations. To overcome these challenges, a hostel
management system is needed that can provide a quick and convenient overview of the available
rooms and student details.

4.SCOPE

 Provides the functionality to students to make their own bookings on their desired rooms.
 It tracks information of allotee’s beds and rooms.
 It deals with monitoring the information and transaction of rooms.

5.OBJECTIVES

 The main objective of the Hostel Management System is to manage the details of rent,
allotees, hostel, rooms and payments.
 The purpose of the project is to build an application program to reduce the manual work
for managing the rent, allotees, beds of the hostel.

 It includes information about the availability of rooms, user profile and admin profile

7.FUNCTIONAL REQUIREMENTS
● CurrentlytheIN&OUTrecordsoftheinmatesarefetchedusing a
register book . Using our software IN & OUTrecords of each
inmate will be recorded in a cloud dbserver.By using a QR
scanner at the entrance we canrecord the date, time and
location of an inmate on theirmovements.
● Currently the mess cut is requested through a
surveymethodwhichisverifiedbythestudentmesssecretary.Byusi
ng the records from the movements we can find each
inmate's mess cut.
● The details and status of the mess bill of inmates will
beshown in a tab.

13.CONCLUSION

 This project offers user to enter the data through simple and interactive manner.
 Data storage and retrieval will become faster and easier to maintain.
 The student records are not stored and processed in an efficient way and manually
updating the working of hostel is difficult, by using our system it is easy to maintain the
working of hostel effectively.
