Week 2: Learning the Basics of Microsoft Word

Day 1: Introduction to MS Word & Basic Operations

Objective: Learn how to start Microsoft Word, and how to create, open, save, and print a
document.

What is Microsoft Word?

Microsoft Word is a computer program that allows you to create documents like letters,
assignments, and notes. Think of it like a digital notebook where you can type, edit, and
organize your work.

Step-by-Step Guide:

● How to Start Microsoft Word:


○ Click the Start button on your computer (usually at the bottom left).
○ Type “Word” in the search bar and click on Microsoft Word to open it.
● Creating a New Document:
○ After opening Microsoft Word, you will see a blank page. This is called a
Document.
○ To create a new one, just click on Blank Document and a fresh page will open
where you can start typing.
● Opening an Existing Document:
○ If you’ve already saved a document and want to open it again, click on File in the
top left corner.
○ Select Open, and then choose the file you want from your computer.
● Saving Your Document:
○ Saving your work means keeping a copy of it so you can use it later.
○ To save, click on File > Save As. Choose where to save it (like on your desktop
or in a folder) and give it a name.
○ You can also press the keys Ctrl + S on the keyboard to save quickly.
● Printing Your Document:
○ To print out your document on paper, go to File > Print. Choose your printer and
click Print.

Day 2: Changing Text Appearance (Font Formatting), Aligning Text, and


Using Lists
Objective: Learn how to change the way text looks, how to line up text on the page, and how to
create lists.

Changing How Your Text Looks (Font Formatting):

● Font: This is the style of your text (how the letters look). To change it, click on the Home
tab (at the top), and choose from different styles like Arial or Times New Roman.
● Size: This controls how big or small your letters are. You can select the size from the
number dropdown in the Home tab.
● Bold, Italic, Underline:
○ Bold makes your text thicker.
○ Italic makes it slanted.
○ Underline puts a line under the text.
○ To apply these, click the B, I, or U buttons in the Home tab.

Aligning Your Text:

● Aligning means placing your text either to the left, center, or right of the page.
○ To do this, select your text and use the buttons in the Home tab:
■ Left Align (for starting text from the left side),
■ Center Align (for placing text in the middle),
■ Right Align (for moving text to the right side).

Using Bullets and Numbering:

● If you want to create a list, use Bullets (dots or symbols) or Numbers.


○ Highlight the text you want in a list, and click on the Bullet or Numbering button
in the Home tab.

Day 3: Adding Tables, Pictures, Art, and Shapes

Objective: Learn how to add tables for organizing information, pictures, and fun designs to your
document.

Inserting a Table:

● A Table is a grid made of rows and columns, like a chart.


○ To insert a table, click on the Insert tab at the top.
○ Choose Table and then drag your mouse to pick how many rows and columns
you want.

Inserting Pictures:

● To make your document more colorful, you can add pictures.


○ Click on Insert > Pictures, then choose a photo saved on your computer.

Inserting Word Art:

● Word Art lets you add fancy, styled text to your document.
○ Go to Insert > Word Art, pick a style, and type your text.

Inserting Shapes:

● You can draw simple shapes like circles, squares, or arrows.


○ Click on Insert > Shapes, then select the shape you want and draw it on the
page.

Day 4: Practice Time – Working on Projects or Assignments

Objective: Use everything you have learned so far to work on small projects.

Practice Activity Ideas:

1. Make a Simple Assignment:


○ Create a new document, type a title, and add some bullet points or numbered
lists.
○ Try changing the font and text size for different parts of the document.
2. Create a Birthday Invitation:
○ Insert a picture and use Word Art to write “You’re Invited!”
○ Try adding some shapes and changing the colors to make it fun.
3. Write a Short Story:
○ Start with a title, and then practice formatting your text. Align paragraphs, use
bold or italic text, and insert a picture related to your story.

Day 5: Adding Extra Information – Headers, Footers, Page Numbers, and


Text Boxes

Objective: Learn how to add extra details like page numbers, titles at the top of the page, and
text boxes to your document.

Inserting Headers and Footers:

● A Header is text that appears at the very top of each page, and a Footer is at the
bottom.
○ To add one, click on Insert > Header or Footer, and type your text (like your
name or the document title).
Adding Page Numbers:

● Page numbers help keep track of your pages when you print them.
○ Click on Insert > Page Number and pick where you want them to appear (at the
top or bottom of the page).

Using Text Boxes:

● A Text Box lets you put text in a box that you can move around.
○ Go to Insert > Text Box, draw a box, and type inside it.

Extra Tips for Success:

● Practice Makes Perfect: The more you practice, the better you’ll get!
● Ask Questions: Don’t hesitate to ask if something is confusing.
● Shortcuts: Learning shortcuts can help save time. For example:
○ Ctrl + C = Copy
○ Ctrl + V = Paste
○ Ctrl + Z = Undo (to fix mistakes).
