 Notes:
If the name of the shared printer is unknown, you can either look at another user’s computer printer
properties who has the printer installed, or go to the printer and print a “configuration” page to identify the
name.
 Always try to use the latest drivers for a printer if you must download them. Always select the PCL 6 drivers if
possible.
 If the printer is installed on a Windows 7 computer, you may have to manually download the XP drivers to
install a shared printer onto an XP computer prior to running the add printer wizard in Windows XP.
 If the printer is installed on an XP computer and shared out, you may have to manually download the
Windows 7 drivers for that printer model.
 If the printer is installed on an XP computer or Windows 7 computer and shared out and you are trying to
install on an opposite OS, you may have to perform a fake local install and then update the port to the shared
computer after installation. In this case, click here to jump to instruction.

1. Click on the Windows “Start” button and select “Devices and Printers”

2. Click on “File”, “Add Printer” or click on the “Add a printer” button or right-click under “Printers and Faxes” and
select “Add a printer”
3. Click to “Add a local printer”
Select “Create a new port”, and “Standard TCP/IP Port”

4. Enter the hostname.


Do NOT use an IP address if possible.
You can look up the host name using “nslookup” from a command prompt.

5. You may be asked to select a driver. If you do not see the driver model in the list, click on “Windows Update” to
allow Windows to search and update the list displayed:

6. If you still don’t see the model appear in the window after the update has completed, you will have to visit the
vendor’s downloads page to download the driver. In the example below, there is still no Xerox Workcentre
5740. Visit http://www.xerox.com and download the driver for the correct OS of the computer you are working
on.

7. In this case, I just recently download the drivers and saved them at \\ctis\dfroot\archive\drivers in the
“xerox5740” folder, so I will use them.

8. Click the “Have disk” box to browse the drives on the computer:

9. You will see a list of options from the drivers location you selected.

10. Modify the name of the printer for easy identification if desired. Adding the actual network name is helpful.

11. You will see the printer installing status

12. Select the option “Do not share this printer”

13. Deselect the option to “Set as the default printer” if the user has a local printer and this is an optional printer
You can test the configuration by printing a test page

Installing a printer shared from a user’s computer

Method 1:
1. Click on the Windows “Start” button and in the “Search programs and files” field, type the name of the
computer: Example \\751-114932
2. You will see a window open that contains any shared printers installed on that computer

3. Right-click on the printer and select “Connect…”

4. You will then see the printer displayed in your list of printers on the machine that you are installing it onto.

Method 2
1. Click on the Windows “Start” button and select “Devices and Printers”

2. Click on “File”, “Add Printer” or click on the “Add a printer” button or right-click under “Printers and Faxes” and
select “Add a printer”
Click to “Add a network, wireless or Bluetooth printer”

3. You will see a list of printers displayed. You may be able to select it from the list if the settings on the shared
printer are enabled to display it, but if you know the name of the computer, you can select “The printer that I
want isn’t listed”

4. Type the name of the computer and printer share name in the “Select a shared printer by name”

5. You should see the printer connecting an all the installation status in the final installation segments.

Installing a printer as local, then updating to the shared printer name


In some instances, you cannot install the printer onto a computer because of printer driver installation issues. In this
case, you will download the printer drivers if necessary from the vendor’s website and then install the printer locally.

1. Begin the “Add a printer” wizard as usual and select “Add a local printer”

2. Select “nul:” as the port. In XP, this may be called something else.

3. Select the model from the list of printers, or from your downloaded drivers.

5. Right-click on the newly created local printer and select “Printer Properties” and select the “Ports” tab

6. Click “Add Port…” and select “Local Port”, then click on “New Port…”

7. You will then see the printer port for the actual printer that it was shared from.

8. You will see the new printer installed in your devices.

XP Installation
1. Go to “Printers” and select “Add Printer”

2. Uncheck “Automatically detect and install my Plug and Play printer”

3. Select “Create new Port” and then select “Standart TCP/IP Port” from the drop down list:

4. You will see a “welcome…” screen. Click “Next”

5. Type in the DNS name for the printer. If the DNS name is unknown, use the IP address.

6. Accept “Generic Network Card”

7. Click “Finish”

8. Select the driver as PCL6 if possible. If the driver isn’t listed, click “Windows Update” and if it’s still not listed
after the update, download the drivers for the printer model from the internet

9. Update the printer name to include the DNS name if desired

10. Do not share the printer

11. Print a test page to see if your installation worked correctly.

12. Click “Finish”
