ACCOMPLISHMENT REPORT

CY 2016

 RECORDS AND ARCHIVES SECTION

Under R.A 9470 Records whose main function is to select, collect and preserve archival
records and make such records available for public use.The need to establish an
efficient records and information management system to be able to retrieve records
quickly is now the concern of every records management. Records must be managed
during their lifecycle- from creation to final disposition. Archives is designed to help the
document administrators to classify, store & secure and search for and retrieve
essential department records, with its advanced search features, Archive one makes
searching for all documents ( old & new) fast and simple. Records and Archives Section
ensures that any and all information and documents of the Sanggunian Panlungsod is
up to date.

For the period under report, the section compiled documents are as follows:

 Employee 201 File (Personal Employment Record). All companies


have 201 file per employee including the elected officials that
contains personal information of an employee, officials (leaves,
absences, merits and violations, trainings and seminars attended,
rank and salary, ect.);
 125 approved Resolutions, 6 approved Ordinances and 3
Appropriation Ordinances;
 previous years from 1945 to 2015 while years of 2016 are ready for
bookbinding;
 Minutes of meeting, agenda and journal of proceedings both for
Committee/Public hearing and for regular sessions for easy
reference;
 Transmit approved ordinances to Sangguniang Panlalawigan for
review;
 Prepare notices of public hearing and committee meetings of the
City Council;
 Monitoring of approved Ordinances for proper publication in the
Local tabloid or newspaper for 3 consecutive issues;
 Transmit approved Resolutions and Ordinances to concerned
offices both local/ national offices:
 The Legislative mini-library is also being managed by the section
where legislative materials and different kinds of books are available
containing english, science, mathematics and history references,
children’s story books, health and wellness, documentaries of other
LGU’s best practices and several newspapers, journal and serials
for easy accessible to the public.

The guiding principle of records and archives section is to ensure that information is
available when and where it is needed, in an organized and efficient manner, and in well
maintained environment. Records must be securely maintained to prevent unauthorized
access, alteration, damage or removal.

Records personnel should be and must be proven to be loyal, dedicated and


knowledgeable because if done mistakenly it shall be punishable under R.A 9470.
