1. When typing a document, you can use spell check software to check the
spelling and grammar in your document. Explain why the automated
suggestions given by spell check software are not always correct.

The language/dialect used in checking the spelling could be different, e.g. English
(US).
Names/proper nouns might be highlighted as an error but may be acceptable if no
suggestions are given.
Similar sounding words need to be checked, i.e. where, were, wear.
The spell checker may not understand the word if it is very badly misspelt.
The word may not exist in the spell checker dictionary/dictionary might not be up to
date.

When inaccurate data is provided to a system, it may lead to big problems. For
example, imagine if the number of students provided to the system for exam centre
allocation is incorrect, it may turn out that the exam centre shows ‘not sufficient
seats’ whereas there is a capacity to accommodate many more students. This will
lead to a huge loss to the organisation. Other sectors such as banking,
manufacturing, research, e-commerce and many others are hugely dependant on
the data received. To avoid any mishaps, it is very important to check for data
accuracy by using different proofing techniques. A computer will always give a
correct output for the correct data. What would happen if the data entered is faulty? If
there are problems in the input of the data provided, the computer may not even
know about it. You need set of accurate data in order to receive the correct output
from a computer system.

Verification is the process of checking the database for any errors in the data, after
the data has been entered into the system.

Visual verification (sometimes known as proofreading): this method is where
someone checks the data entered into the system against the original data.
