Unit 2: Data Entry and Keyboarding Skills

1. Computer Keyboards are similar to electronic typewriter keyboards with additional keys.
2. A Computer keyboard generally has more than 100 keys.
3. A touch Typist knows the location on the keyboard through muscle Memory.
4. Touch typing typically involves placing the eight fingers in a horizontal row along the middle row of the
keyboard (the home row).
5. The typing speed is measured in words per minute (WPM).
6. Alphabets (A-Z) and numbers (0-9) are known as Alphanumeric Keys.
7. Keys such as comma (,), period (.), semicolon (;), brackets ([]) and parenthesis ({}) and also the
mathematical operators (+, - and =) are known as Punctuation Keys.
8. Alt key is short for of Alternate.
9. There are 4 arrow keys to move the cursor up, down, left and right.
10. Shift or Alt Keys are used to move the cursor in more than one position at a time.
11. Backspace key deletes the character just to the left of the cursor and moves the cursor to that position.
12. Caps lock key is a toggle key which when activated causes all alphabetic characters to be in uppercase.
13. Ctrl Key is used in conjunction with other keys to produce control characters. The meaning of each
control character depends on which program is running.
14. Del key deletes the character at the current cursor position or selected object but does not move the
cursor.
15. For graphic based applications the delete key deletes the character to the right of the insertion point.
16. Enter key is also known as Return Key.
17. Enter key is used to enter commands or to move the cursor to the beginning of the next line.
18. Esc Key is used to send special codes to devices and to exit from programs and tasks.
19. A standard keyboard has 12 function keys from F1 to F12
20. Numeric keypad is used to enter numeric data
21. Numeric keypad contains 0 to 9, +, -, *, / symbols, decimal point, Num lock and Enter Key.
22. Numeric Keypad work on dual mode. On one mode, it represents numbers and on the other mode it
contains various keys like arrow keys, page up, page down etc.
23. Some of the keyboards of laptops don’t have a numeric keypad.
24. Alphabets ASDF are home keys of the left hand and semicolon LKJ for the right hand.
25. Keys F and J are called guide keys for left and right hand respectively. Both contain a tangible mark with
the help of which the touch typist can place the fingers correctly on the home keys.
26. For typing capital letters, we either use Caps Lock or shift key on the keyboard.
27. Mouse is a pointing device used to point a particular place on the screen and select to perform one or
more actions.
28. Mouse can be used to select menu commands, resize windows, selecting actions from screen icons etc.
29. In mouse there are three parts the buttons, handling area, and the rolling object.
30. In mouse there are three buttons left, right and scroll wheel.
31. Left button of mouse perform operations like selection, dragging, moving and pasting can be done.
32. Right Button of mouse is used to open a context menu for an item.
33. Click or left click of mouse is used to select an item.
34. Double Click of mouse is used to start a program or open a file or trigger an action.

36. Drag and Drop allows to select and move an item from one location to another.
37. Scroll Key of a mouse is used to scroll up or down.
38. Blocking is another way of selecting the text. It is used to select text that needs to be edited or formatted.
39. Page up key is used to shift the cursor one-page up
40. Page down key is used to shift the cursor one page down.
41. Pressing the End key on the numeric keypad moves the cursor to the last character of the line.
42. Pressing the Home key on the numeric keypad moves the cursor to the first character of the line.
43. Typing Ergonomics provides the logistic support for efficient and effective typewriting.
44. On numeric keypad ‘0’ is pressed by the right hand thumb.
45. The numeric keypad has four columns and five rows.

47. Stage one of Touch typing technique begins with learning the home row of the keyboard in which looking
at the keyboard is strictly forbidden. It is followed by learning the lower and upper rows, number row,
uppercase letters and special symbols.
48. Stage two of Touch typing technique involves memorizing frequently used syllables and typing words
containing these syllables.
49. Stage three of Touch typing technique involves typing actual text to perfect the skills required.

1. A document is a paper with written contents and the process of preparing a document is called
documentation.
2. Word Processing is the use of computer software to enter, edit, format, store, review and print the
document.
3. A word processor is a computer application used for the production of printable material.
4. Libre Office writer is a free open source software used to create documentation in Libre Office.
5. . ODT extension is used to save the Libre Office Writer file.
6. Title Bar is located at the top of the Libre Office Writer window and display the name of the file by which
we save it.
7. Menu Bar shows the menu items like File, Edit, View, Insert, Format, Tables, Tools, Window and Help.
8. Toolbar it appears below the menu bar. By default, we have standard toolbar and formatting toolbar.
Other toolbars can be activated by clicking on the view menu.
9. Standard toolbar contains commands in the form of icons.
10. Formatting toolbar contains various options for formatting a document.
11. Status bar is positioned at the left bottom of the Libre Office Writer window and display the number of
pages, words, language used, zooming etc.
12. Scroll Button or Scroll Bar is used to scroll the document.
13. Zoom it allows to change the scale of text and pictures in the document only for view.
14. CTRL + N is the shortcut to create a new file in Libre Office writer.
15. CTRL + O is the shortcut to open an existing file in Libre Office writer.
16. CTRL + S is the shortcut to save a file in Libre Office writer.
17. CTRL + SHIFT +S is the shortcut to save as in Libre Office writer.
18. CTRL + P is the shortcut to print a file in Libre Office writer.
19. CTRL + SHIFT + O is the shortcut to print preview to check file before printing it in Libre Office writer.
20. CTRL + Q is the shortcut to exit / quit from Libre Office application.
21. FILE Menu contains commands related to new, open, save, save as, print, print preview & exit.
22. CTRL + HOME is the shortcut to jump to the beginning of a document.
23. CTRL + END is the shortcut to jump to the end of a document.
24. Copy command is used to create duplicate copy of text or object. CTRL + C is the shortcut to copy.
25. Cut command is used to change the position of text or object from one place to another. CTRL + X is the
shortcut to cut.
26. Paste command is used to paste the cut or copy text or object within the document. CTRL + V is the
shortcut to paste.
27. Undo command is used to go back to the last action performed. CTRL + Z is the shortcut to Undo.
28. Redo command is used to undone the action performed by undo command. CTRL + Y is the shortcut to
redo.
29. CTRL + A is the shortcut to select all the text in a document.
30. Find and Replace command is used to find and replace the particular word or sentence with other word
or sentence. CTRL + F is the shortcut to find and replace the text with another text.
31. CTRL + G is the shortcut for jump (go to) from one page to another page.
32. EDIT Menu contains commands related to cut, copy, paste, undo, redo, find & replace, go to.
33. CTRL + F10 is the shortcut to display the non-printing characters.
34. Spelling and Grammar command is used to check spelling and grammatical mistakes in the document
created.
35. F7 is the shortcut to check spelling and grammatical errors.
36. Tools Menu contain command for spelling and grammar.
37. Thesaurus shows synonyms and antonyms for the selected word.
38. Format menu contains command for page setup and page option.
39. Orientations are of two types landscape and portrait.
40. CTRL + M is the shortcut to remove manual formatting.
41. CTRL + B is the shortcut for Bold.
42. CTRL + I is the shortcut for Italic.
43. CTRL + U is the shortcut for underline.
44. Change case is used to change the case of characters to upper case, lower case, title case, sentence case,
toggle case or capitalize every word.
45. Superscript is use to make the text appear slightly above the base line like 1 st.
46. Subscript is used to make the text appear slightly below the base line H2.
47. Format -> Text -> Superscript is used to apply superscript.
48. Format -> Text -> Subscript is used to apply subscript.
49. Increase Indent is used to increase the margins from left of the paragraph.
50. Decrease Indent is used to decrease the margins from left of the paragraph.
51. Left Align is used to make the text or paragraph aligned towards left of the page.
52. Right Align is used to make the text or paragraph aligned towards right of the page.
53. Center Align is used to make the text or paragraph aligned towards center of the page.
54. justify Align is used to make the text or paragraph aligned from both left and right of the page.
55. CTRL + L is the shortcut to align left.
56. CTRL + R is the shortcut to align right.
57. CTRL + E is the shortcut to align center.
58. CTRL + J is the shortcut to justify align.
59. Insert Menu is used to create Header & Footers in Libre Office.
60. Insert Menu is used to add page numbers in Libre Office.
61. Insert -> Page Break is used to create more than one page.
62. CTRL + Enter is the shortcut to create page break.
63. Insert -> Image is used to add images from hard disk or external storage like pen drive in your document.
64. Insert -> Special Character is used to add symbols which are not present on the keyboard like scissor or
telephone sign etc. in your document.
65. Insert -> Tables are used to represent data in tabular format.
66. CTRL + F12 is used to create tables.
67. Insert -> Shape is used to add arrows, symbols, stars, flowcharts etc. in your document.
68. Header appear at the top of every page and Footers appear at the bottom of every page.
69. Portrait Orientation height of the page is more than the width.
70. Landscape orientation width of the page is more than the height.
71. By Default, paper size is letter size while creating the document.
72. By Default, paper size is A4 while printing the document.
