E-mail Writing
Over the past few decades, the phenomenon usually referred to as the cyber
boom, has swept across the globe, changing the functioning of the world.
People across the globe have started switching to electronic mail for official
and informal purposes. Presently, E-mails are arguably the best way of formal
communication.
They are short, crisp, precise and instant. Emails can vary in formality
depending upon the level of understanding between the sender and the
receiver. They can be formal, semi-formal and informal based on the
occasions on which they are being written.
Some points to remember while writing an email are:
1. Tone should be formal unless the email is being exchanged between
friends, family members or acquaintances.
2. Marks are reserved for language and expression in the body of the email.
3. All communication must follow the standard norms of etiquette.
4. Traditional rules of punctuation must be maintained.

Marking Scheme
One question of 5 marks is based on e-mail as per the latest Syllabus of
English Paper 1 (Language).
Structure of E-mail
E-mail
Format:
To: (A complete plausible e-mail id 1/2 mark
e.g. bluebellschool@gmail.org
Subject: (must be appropriate to the given topic)1/2mark
Salutation: 1/2 mark
Opening and Closing sentence: 1/2 + 1/2 mark
Expression/Body: 1/2 mark
Subscription: 2 marks
The Tone must be formal.
The message is to be conveyed using clear and simple language.
An e-mail is no excuse for expressions, short forms or SMS vocabulary and

spelling. Marks are reserved for language and expression.
Traditional rules for punctuation are to be maintained, (Judicious use of
Capital Letters).
All communication must follow the standard norms of etiquette.

Caution
 Receivers’ e-mail Id: Every e-mail Id consists of @ sign. Never mention any
mail Id that does not have @ sign in it. Also, the e-mail Id should be relevant
to the person receiving the mail. Avoid any short or vague names of the
person or the institute. Do not just write anything as the mail address or
any personal Ids with names.
E.g. If it is meant for the principal of DAV School, you can write it as:
principaldavschool@gmail.com
• Subject: The subject of the e-mail should always be relevant, short and
crisp. It should never be inappropriate, irrelevant or very long. Avoid
choosing any vague or colloquial subject.
• Salutation: The correct salutation for the e-mail is Sir/Ma’am or Dear Sir/
Ma’am. Do not write Respected Sir/Ma’am, as an e-mail is not as formal as
a formal letter, so it is considered to be incorrect.
• Subscription: Yours faithfully/truly. ‘Yours’ does not have an apostrophe
and it should always be used with faithfully or truly.
• Opening and Closing Sentences: Opening sentences should always be
clear and should touch upon the topic. Both the opening and the closing
sentences should never overlap with the main content of the e-mail.
Closing sentences should never be missed.

may be followed, both are acceptable.]

Example 1. Write an e-mail to the Principal of a neighbouring school,
informing her of an Inter-school debate competition being organised by
your school and requesting her to send a team to participate.

What Examiners say
 In writing the E-mail, the following errors were observed:
(1)Incorrect E-mail ids were given.
(2)Personal ids were given.

(3)Subject was not written.
(4)The opening sentence was not clear and did not touch upon the topic.
(5)The closing sentence was missing in many cases. In many scripts, the
opening and closing sentences overlapped with the content.
(6)Salutation and subscription; many candidates wrote (respected sir/
ma’am) which was incorrect salutation.
(7)In a few cases, date, venue, time were not mentioned. Only the date of
the examination was written.
(8)While the invitation was to send the candidates, some candidates
invited only the Principal of neighbouring school for the event.
Caution
 Familiarise with the difference between an official and a personal
e-mail id.
 Write salutation and subscription as written in the formal letter.
 Understand the components of an e-mail id-personal / particular name /
etc. + @ + the provider.
2. Write an e-mail, addressed to the class teachers of the School
for classes IX to XII, regarding their meeting with the Disciplinary
Department, to discuss the ways to make sure that the students
follow School rules and maintain decorum.
