Task 1: Managing risks for those working from home

Question 1
The global pandemic categorised by the spread of the virus has affected the individuals
of almost every country of the world. The situation instead of getting better is getting
worst day-by-day. Scientist’s discovery has proved that the virus is transmitted through
physical contact and causes difficulty in breathing. It can switch from severe illness to
death very rapidly. In this situation employee are stick to official guidance and working
from home. The approaches which organization is taking to manage risks are as follows:

• As per government instructions the organization advice their workers to work from
home, will reduce the work related injuries which may occur and also reduces the
illness through the virus.
• The proper procedures are made for the workers so they can perform their duties
easily from home which includes homeworking environments and setup of work
stations which didn’t cause any ergonomics issues. And these procedures are
communicated to the workers working from home.
• The organization has created the flexible work routines for the workers. To reduce the
risk of stress and mental fatigue causing by their work.
• The organization conducts team meetings and using different media plate forms to
involve their workers working from home and consult them about work related issues.
• The organization asked the management team to schedule the computer based team
meetings on weekly basis by which they will aware the workers about the social
contact with colleagues. By this they can avoid the spread of virus.
• Forums are established by the organization for the workers, to raise their concern
about any work related issue they are facing.
• The organization has made one on one meeting for those workers those who cannot
join the conference meeting and having some issue so they can discuss their
problems in this meeting.
• The organization has made various technological options for the workers working
from home to enable them for business meetings and contacting their clients.by use
of these technologies the workers will prevent the interacting with client.
• The organization is identifying alternative methods to save extra costs arising in this
pandemic situation to save their business and overcome the financial risk to their
employees by providing them less salaries.

By this approach of the organization to manage risk to those worker which are working
from home to protect them from this deadly virus.

Task 2: Communicating health and safety

Question 2
According to the scenario whole world is affected by the spread of virus more and more
every day. This global pandemic can cause severe illness and even death for others. In
this situation government has announced best practice for home-working environment.
The guidance has been distributed to all workers .Some of the examples of effective
communication used by the organization in scenario are discussed below:

• The organisation has established the procedures for the use of technology to
enabling their workers working from home by using video conferencing facilities,
discussion through team meetings, digital media which shows the clear lines of
communication between the workers and management working from their home.

• The organization engage their workers through short video based team meetings on
weekly based to interact with their concerned department and communicating with
them.
• The organization resolve the issues of their workers which is raised in the forum
provided by the organization.
• Arrangements of one to one meeting for those individual which are not compatible to
share their views during the team meeting.
• The planning of safety committee meeting are schedule by the organisation for the
employees.
• The organization is planned to develop the risk assessment in team meeting and
decided the significant finding from the risk assessment will be shared to all the
workers in next committee meeting.
• As the risk assessment was carried out by me and the facilities manager against the
specific virus and involve the worker representative through proper consultation.
• I am the facilities manager presented all the findings from the risk assessment that
being carried out along with the site visit and research in the team meeting with the
managing director.
• The procedures and the guidance for the worker working from home including the
work station setup and the working environment in the home are written by me and
distributed to all workers.
• The sign copy of risk assessment will be placed on the office health and safety notice
board which show the effective broad casting of the information regarding the virus in
the organization.
• The detail arrangement of hand washing and other hygiene procedures will be email
to all workers. The further information will be supplemented by posters in all team
meetings and will be available on the company intranet for the reference..

Task 3: Benefits of certification to an ISO occupational health and safety


management system standard to the organisation

Question 3
ISO is independent and non-governmental international organization with member of 165
national standards bodies which established the Occupational Health and Safety
Management System (ISO 45001) in March, 2018. Which enable an organization to
improve their safety standards with proactively monitoring which can reduce the accident
ratio and saves the thousands of lives which are lost due to work-related accidents and ill
-health. This management system must be achieved by the organisation to prevent the
fatal accidents rates, as it is not the legal procedure to achieving this certification but can
provide the structure framework. The organisation will have the clear objective and goals
to prevent the accidents and increasing the importance and reputation among the
businesses. I will provide the arguments to the Managing Director and which will have the
clear understanding and showing the benefits to the organisation for maintaining
occupational health and safety management system certification which are as follows:

• International recognition: The achieving of the health and safety management


system certification will maintain the position of the organisation as industry leaders
and will be internationally recognised.
• Management Commitment: By this certification the organisation will make
improvement for the safety of their workers in this pandemic situation which will
shows the management commitment.
• Reducing workplace accidents: Work related hazards will be identified and more
precise action will be taken against concerns from the workers and it will help in the
reduction of the workplace accidents.

• Effectiveness in roles and responsibilities: The roles and responsibilities for every
individual in the organisation will be define and everyone will be more aware of their
responsibility as in current situation of pandemic, employees will taking their
responsibility effectively as described in management system.
• Reduce staff turnover: Achieving of the certification of management system will
decrease the staff turnover and workers feels their importance and work more
efficiently when returned to the offices.
• Risk management: Management of the organisation will take more precise actions
while dealing with the risk associated with the workplace as well as against the
pandemic situation where workers are returning to the offices for work and managing
the risk properly.
• Reduce financial costs: Management system achievement will decrease the
accident rates (which could impact the financial resources of the organisation). By
decrease in the accident rate organisation will reduce the financial costs associated
with it.
• Support business: Achievement of the management system certification by the
organisation will gain the business support as it will increase return on investment
which support the business financially.
• Effective health and safety auditing: Regular workplace inspection and health and
safety auditing will be more effective and organisation will maintain their health and
safety performance.
• Enhance motivation: Maintaining the workplace safety and achieving the effective
results from the active monitoring will increase the motivation for the all workers at
any level.
• Increasing worker morale: The achieving and maintaining the reducing the
workplace hazards and risks will have huge impact on the workers and their morale
will be high which leads the organisation the attaining more production.
• Attracts interested parties: The morale of the interested parties will be boosted
which including the stakeholders, shareholders, contractors, workers etc. and they
will more attracts towards the business.
• Benchmarking: Achievement of health and safety management system will increase
the effectiveness of procedures made against spread of virus and other businesses
will take it as benchmark for their organisation.
• Continual improvement: The organisation will increase the effectiveness of the
procedures and guidance use for betterment of the health and safety and look for the
improvement continuously.
• Increasing the production: The health and safety management system will help the
organisation to increase the production with more effective way

Task 4: Applying further control measures

Question 4
The outbreak of the virus is much more controlled so the government has decided to
reopen the organizations and now insurance company as per the instruction of the
government decided to work from office. The management of the organization has
decided to take steps to overcome the spread of virus and maintaining good health and
safety in the organization from the given scenario the organization planned different
administrative measures which are as follow:

• The managing director held the team meeting with me and facilities manager and
asked to carrying out the specific virus risk assessment evolving the worker
representative.
• The organization extended the contract of cleaning company to i9nclude
comprehensive cleaning of the office frequently.

• The detailed procedures being made of washing hands thoroughly and communicate
to all worker by an email.
• Posters of hygienic procedures were established and posted in the washrooms and
needs to be followed by the worker.
• The new procedures for hand sanitizing will be written and communicated to all
worker during the computer team meetings and will make available on intranet of
organization.
• The safe system of work will be developed on maintaining the social distancing in the
workplace and need to be followed by worker properly.
• The adequate procedures for wearing personal protective equipment will be written
specifically for those workers working in enclosed rooms.
• The first aid policy in the organization will be updated according to the current
situation.
• Arrangement will be made for the fire evacuation and will be updated considering the
current circumstances.
• The emergency procedure will be updated which including specifically the detail
procedure of the outbreak of the virus in the organization.
• Further social distancing measures to control the spread of virus in the organization
on the company intranet to aware the workers of maintaining social distancing in the
work place.
• Implementation of all the modified procedures arise from the risk assessment are
agreed in the meeting and will need to be acknowledge and accepted by all the
workers.
• Training will be provided to the worker through presentation and workshops which will
increase the knowledge of the worker while working with deadly virus.
• There will expectation of implementing the safety standards in the organisation by
supervisors and managers through active monitoring using safety tours and
scheduled procedures for safety behaviours of the workers.
• The new developed procedures will be implemented in the organisation for the
workers and workers needs to accept those changes and work accordingly to those
procedures.
• The managing director advised for the updating and revising the policies for the
visitors and contractors to control their movement and proper work procedures will
also be developed for them.
• The organisation is maintaining the social contacting procedures for their workers and
will arrange the schedules of work patterns for their workers.
• As in the pandemic situation the workers still working from home, the organisation will
set the same procedures for work environment by setting of workstation in home.
• The advance technology will still be in use for the workers working from their home
and involve them through video conferencing facilities and continual guidance will
shared with to prevent the spread of the virus for business meetings and client
contract.
• As organisation is concerned about the mental wellbeing the will be safe line of
communication between the workers and management through computer based team
meeting which will enhance the protection of their workers.
• Proper operational procedures will be developed for those workers working in the
office and advice them to wear proper protective equipment and detail written
procedures about the use of protective equipment will be shared to them.

Task 5: Influencing behaviour to improve performance

The pandemic due the wide spread of the virus is now in control and as per the
government instruction, the workers are now allowed to work from the offices with
following the controls suggested and implemented by the organisation to limit the spread
of the virus. As the insurance company also implemented the new control measures for
their workers when returning to the offices and need to adopt these controls which will
effectively influence their safety related behaviour. I think the organization will affect the
positive influencing to change the worker’s behaviour by new controls are as follow:

• The managing director of the organisation plan the meeting and ask to do the risk
assessment for the specific virus with involving the workers at different level which
will influence the behaviours of the workers while returning.
• For the best and workable controls to develop, consideration of latest advice from the
governments are implemented in the workplace for the workers which will positively
and effectively influence the behaviour of the workers.
• The finding from the risk assessment will communicated to the workers so they will be
aware of their responsibilities when returning to offices and work according the
controls suggested to them.
• The risk assessment will be signed and posted on the health and safety noticeboard
which will further aware worker to work accordingly as the controls are taken for their
safety and sign assessment will show the management commitment which will
influence workers positively.
• Cleaning contract is extended for the contractor by the organisation which will include
frequent cleaning of the office area to prevent the spread of virus and protect their
workers.
• Details procedures of hand washing and hygiene will be email to all the workers so
they will know about the procedures that how to utilise these procedures to limit their
exposure against the virus.
• Arrangements of the safety posters in the washroom area by the organisation to
aware the workers of frequently washing their hands to stay safe from the deadly
virus.
• Organisation is emphasising on the training for the workers by devising the
presentation and arrangement of workshops for their workers to provide them
instruction to aware them from the effects of the virus.
• Effective implementation of the controls measure by doing the active monitoring,
scheduling the behaviour safety observation, inspection and safety tours by the top
management.
• The management will give time to the workers for accepting the new changes and
adopt them which showing the positive culture of organisation.
• Organisation revised the policies for controlling the visitors and contractor in the
workplace and new procedures are developed for them as well to adopt it.
• Involvement of the workers, supervisors and managers in implementation of the new
procedures and controls to show their motivation.

These action and procedures which will be taken from the organisation for their workers
will positively influence the health and safety related behaviour of the workers as
management of the organisation is more concern about the health of their workers.

Task 6: Checking management system effectiveness through auditing

workplace inspection and audit:

• A workplace inspection is a process of documenting the hazard present in the
workplace and the unsafe conditions that are present in the workplace.
• A workplace inspection can be done by the safety expert and in some cases it may
be done by non-specialist person in workplace.
• A safety inspection reviews a workplace inspections all the equipment involved in
their workplace and check their effectiveness whether or not it can reduce or prevent
the injuries of accident.
• A workplace inspection often access the overall behaviour to resolve if any activity
are inappropriate and unacceptable.
• Workplace inspection establish whether organization is compliance with legal
resolution and to protect the workers from ill health such as the virus and it is the
important way of reducing risk.
• Inspection of the workplace is more dealing with physical reality of the workplace

Audit :
• An audit is carried out in the workplace to check the effectiveness of organization
health and safety management system.
• An audit examined the documents including the health and safety policy, risk
assessment, safe working method to check the effectiveness of management system
within the organization system.
• An audit keeps careful examination of the records such as training, maintainance of
equipment, regular inspection of the workplace etc.
• An audit keeps the evidence of worker interviewing and observed that whether the
organization meet the standards of organization.
• An audit is long process which required high level of competency and may be
expensive.

Question 6 (b)
The benefits of using third party auditors in the place internal auditors which will carrying
the workplace audit of health and safety management system are as follows:

• The external auditors are often carrying more experience of different workplace and
provide the effective suggestion.
• They aren’t get under the internal influence and thoroughly examine the every section
of workplace and documents.
• The recommendations and suggesting from the workplace auditing carries more
values and has significance information.
• The external auditor may have legal knowledge and having practice of auditing for
similar like businesses.
• They critically evaluate the management system which identify the deficiencies in the
management.
• The external auditor has fresh pair of eyes and have good knowledge about the
industrial standards and practices.

Task 7: Identifying data used to monitor health and safety performance

Question 7
Making policies and procedures for health and safety is one thing, following them is
another? In order to see whether these procedures are implemented as planned, a
review is usually organized to check the effectiveness of the health and safety
performance. But to review, one have to look into the system for indicators. The
indicators which are visible through the scenario to check the effectiveness of health and
safety performance are:

Indicators from Actual activities:

• Work from home: We can see that work from home policy advised by the
government in our particular locality of the workplace is already implemented.
• Use of technology: Organization is using every mean to design, adopt and adhere
the technological options as it is giving proper work stations to enable employs to
remotely work and can do formal and social meetings.
• Online meetings: Procedures for meet and greet for the social welfare of employs
and forums to raise and rectify ones concern are also visible along with the online
one to one and safety committee meetings were developed.
• Cooperation and consultation: Over all, the guidance on the procedures made with
the consent of employs to adopt and follow the SOP`s were properly instructed to
everyone.

Indicators from Planned activities:

• Risk Assessment: Displaying the signed copy of risk assessment to start the work,
also giving the key findings to every worker is a good step as it will enable everyone
to look for control to perform the duty.
• Extended cleaning contract: Extending the cleaning contract is also showing that
the organization is very concerned about the health and safety of its employs.
• Hygiene procedures: Displayed and conveyed hygiene and washing procedures
showing assurance of following the official pandemic SOP`s.
• Safe System of Work and PPE`s: The pledge to design and implement safe system
of work and use of PPE`s also making every possible effort to make everything
available on the intranet shows the organizations level of responsibility.
• Leadership and Responsibility: Responsible person for every planned action is
identified who will lead from the front by designing, training, implementing and then
taking feedback for the planned actions.
• Active monitoring: Every action will be actively monitored by training, tour, audit and
also inspection to ensure the effectiveness of performance.
