MHR-110-10-10 Manage Learning Forecast
Documentation: This process refers to the ability to run quarterly forecast processes, in which Learners and
Organizational Owners can express their training requirements for an upcoming training period. The Training
Forecast process focusses on training requirements that have not otherwise been established in other
processes (i.e. Already assigned items, curricula and programs; requested external trainings).
Use cases:
• Learning organizations conduct regular budget and resource planning. The training forecasting process
provides an insight into training requirements that are not planned as part of mandatory or automated
assignments and thus are not reflected in regular training forecasts
• The training planner allows to plan for training requirements of employees that are yet to join the
organization
Purpose:
• Learners and managers provide an indication for non-mandatory learning activities as a forecast for
future learning requirements (i.e. vocational training, special learning assignments)
• The aggregated learning requirements of the organization are used during the analysis of learning needs
and serve as an additional criteria

Documentation: This process refers to the creation of a decision template for the Chief Learning Officer with
enough information for the CLO to make an educated decision to fund the presented Training Plan for the
organization.
Use cases:
• Learners have indicated their learning needs through self-assignment of learning items/
programs/curricula
• Organizational strategy requires learning offerings to be updated
• A forecasting period is defined and involved parties express their interest both in terms of topics as well
as in number of required seats
Purpose:
• Regular consolidation of learning needs expressed by the organization, top-down (strategy) as well as
bottom-up (employees and line managers)
• Review of existing offerings and preparation of decision proposal(s) for updates to respond to the
learning needs
• Decision proposals to be validated by the Chief Learning Officer, include required budget and make-or-
buy proposal

organization and what HR needs derive from that business strategy.
Learning Manager Responsible for analyzing the organization’s learning needs, determining an adequate learning
plan, and planning and execution of related enhancements to the learning offering.

External Training Request The "External Training Request" data object in SAP SuccessFactors Learning LMS relates to the
record of requests made by users for learning content or training sessions not offered within
the current system. It includes data about the requester, the requested training details, the
reason for the request, approval status, and any associated costs. This object helps in
recognizing learning needs beyond the current catalog and managing approvals for external
training.
Learning Assignments The "Learning Assignments" data object in the SAP SuccessFactors Learning LMS refers to the
record of tasks or courses assigned to a user. It holds data about what, when, and to whom
learning content has been assigned. This object is crucial for tracking the learning pathway and
progress of individual learners within the system.
Performance Review A systematic, general and periodic assessment of an employee's performance and
productivity in relation to certain pre-established criteria and organizational objectives.

Documentation: This process is subprocess of the “Manage Learning Content” process. It refers to activities
which need to be done for defining how a certain learning item should be delivered, for example: evaluation
of internal capabilities, evaluation of vendor capabilities, defining approach for categorization of training
costs, etc.
Use cases:
• A new course has been requested by stakeholders. The requirements are clear. The method of delivery
(i.e. E-Learning, instructor led, on-the-job-training, etc.) needs to be decided. Expected costs, learning
impact and other constraints will influence the decision and need to be considered to find an adequate
delivery method as well as a suitable sourcing approach (Buy vs Build)
Purpose:
• Before a training is created, the learning organization needs to asses how the new training should be
delivered, what capabilities are available, what capabilities need to be developed and what are the
expected costs
• Decide on “Build vs. Buy”

Documentation: This process refers to the ability to create and maintain classes (formerly known as
scheduled offerings) as instances of Instructor-Led items.
Use Cases:
• Learning Content has been updated and new instructor-led events need to be scheduled
• Learning Administrator receives an automatic notification when x users (defined in minimum registration)
have requested a class to be scheduled
• A training plan indicates the need for specific offerings in a specific region and/or time frame
Purpose:
• Organize scheduled events and manage the resource requirements of instructor lead trainings
• Classes can take place in classrooms and in virtual classrooms. In both cases registration management,
waiting lists, maximum and minimum number of participants should be defined as part of the class
• Classes are made available through the library. The choice of libraries controls the visibility of the
classes toward the Learner

Documentation: This process is a subprocess of the “Register for class” process. It refers to activities which
are needed to control the automated progress of a learner's registration for a certain event in case the
learner was on a waitlist.
Use Cases:
• In a previously fully booked class a seat becomes available. After checking conditions, the LMS
automatically registers the first learner on the waitlist
• After the last day of the last class event, the LMS automatically moves all remaining learners from the
waitlist to the list of class requests of the corresponding item
Purpose:
• Automatically register learners from the waitlist into available seats, once these become available
• Automatically move learners from the waitlist to the list of class requests if they could not be registered

Documentation: This process describes how managers can record the following learning events
1. An ad hoc training took place. There is an item in the library, but there is no scheduled class. Learners
were not registered into a class. The manager was the instructor
2. An ad hoc training took place, but there is no item in the library. The manager was the instructor.
There might be other situations were a recording might be appropriate, but the administration effort of
submitting the records to the learning administration can be avoided (e.g. information instruction).
• Meetings that are equivalent to learning events can be recorded by line managers
• Instruction of Learner (e.g. as part of an On The Job Training) can be recorded by the Line Manager
• Line Managers can record learning completions for authorized learning items without having to consult
HR or the Learning Administration
• Any knowledge transfer worth recording can be recorded without requiring items or classes
Purpose:
• An instructor led event was conducted by the Line Manager and needs to be recorded independently of
prior registrations or existing scheduled classes
• Line Managers can record any type of knowledge transfer (e.g. general instructions, On-The-Job-Training,
etc.)

• The learning history represents a holistic view of learning activities completed by the learner
• Learning activities are not limited to courses. These activities are also tracked in the LMS

Documentation: This process refers to the option to record Ad-Hoc activities without undergoing the
administrative effort of creating the respective objects in the LMS (i.e. no need for an item or a scheduled
offering).
Line Managers can record the completion of an activity in the LMS by providing a brief description, the name
of the instructor and the exact time and date.
Use Cases
