Communication is the transferring of a message from the sender to the receiver,who understands

the message.

The message is the information or instructions being passed by the sender to the receiver.

Internal communication (Communication from and to people within the business)


Examples are:
Employees talking to each other.
Director sending an email to employees,
Noticeboard in office
Staff Meetings

Poor internal communication leads to –


Workers don’t understand what they have to do
Poor motivation
Wastage (e.g. 2 employees do the wrong task because of wrong instructions)

Examples of internal communication


‘Please do not smoke in this area.’ (notice on a table )
‘How many hours did you work last week?’ (manager asks a worker)“
‘There will be a Fire Drill at 11 00 today.’ (notice on a board)‘The cutting machine has broken

Examples of external communication


Orders for goods from supplier
sending information to customers about price and delivery time
Advertising goods or services
Asking customers to pay bills on time.

External communication (Communication from people inside the business to people outside the
business)
Examples are:
Employees talking to customers
Ordering materials from suppliers
Advertisements

Poor external communication leads to –


Unhappy customers (leads to fewer sales)
Bad business reputation (lower sales)
Problems with suppliers/customers due to incorrect information (e.g. wrong supplies being
delivered)

Process of effective communication


Transmitter or the sender of the message is a person starting off the the processs by sending the
message
The medium of communication is the method used to send a message for example,a letter is a
method of written communication and a meeting methods of verbal communication.
The receiver is the person who receives the message
Feedback is the reply from the receiver which shows whether the message has arrived ,been
understood and if necessary,acted upon.

Formal communication – Recognised and approved by business (e.g. formal emails, official
meetings, reports)
Informal communication – Information is sent and received casually (e.g. employee talking during
lunch break)
One way communication – Communication that does not allow for a response
Two-way communication – Communication where the receiver sends feedback to the sender
about the topic.
Advantages of two way communications
Receiver can tell the sender that they have understood the information/instruction
Chance to ask for more information
Allows the receiver to contribute ideas

Choosing the appropriate communication method


Speed - is it important that the receiver gets the information really quickly
Cost - is it important to keep cost down or it is important to keep communiction effective.
Message details - how detailed is the message?
Leadership style - is the leadership a democratic one?
The receiver - who is /are the target receivers? is the person next door must 100 people receive
the message
Important of written records - if it is important to have a written record for future reference
Importance of feedback - if the sender expect to receive feedback quickly.
