Profile

Since 2013, the Asia Arts Festival (AAF) has provided a platform for
musicians and dancers from various genres to showcase their talents
before a distinguished panel of adjudicators. With over 2,600
participants from more than 20 countries, including Russia, Germany,
Scotland, and New Zealand, the festival fosters a supportive
environment where participants form lasting friendships and receive
trophies and certificates. Founded by Francis Liew—an accomplished
choral director who has led award-winning school choirs since 1999
with a total of 36 national and international accolades—AAF is the
culmination of his 34-year musical journey and his vision to unite the
performing arts through a nurturing and inclusive platform.

In 2025, AAF proudly makes its debut in Indonesia, a country rich


with talent and artistic potential. AAF Indonesia aims to provide
easier access for local participants to compete, explore their abilities,
and build confidence—empowering them to grow and pursue
greater performance experiences on both national and international
stages.

Benefits and Prizes

The Asia Arts Festival Indonesia 2025 is a prestigious event


celebrating the rich cultural and artistic diversity of the Asia region.
This festival not only provides a platform for artists and cultures to
showcase their work and collaborate, but it also offers incredible
benefits and prizes for participants.

Here are some of the benefits and prizes that participants and
visitors can expect at this grand event:
1. The highest-scoring winner at the Asia Arts Festival Indonesia
2025 will be celebrated with a prestigious awards package
designed to honor true artistic brilliance. This includes a
generous cash prize, an elegant certificate of achievement, and
a specially designed trophy a timeless symbol of their
exceptional talent and creative spirit. These honors reflect not
only their dedication and artistry but also their powerful impact
on the rich and ever-evolving cultural tapestry of Asia.
2. At the Asia Arts Festival Indonesia 2025, the soloist winner will
receive a special prize: a round-trip ticket to Singapore to
represent Indonesia in an Grand Final Asia Arts Festival
Singapore 2025. In addition, the winner will be provided with
accommodation for one person during their stay. This is a
unique opportunity to showcase their talent on a global stage
and take their artistic journey to the next level.

Rules & Regulation

Participation in the 1st Asian Arts Festival Indonesia (hereinafter


referred to as the "Festival") is subject to the rules and regulations
outlined below ("Rules and Regulations"). By registering for the
Festival, participants agree to abide by all such Rules and Regulations.
The Festival Organizer (hereinafter referred to as the "Organizer")
reserves the right to amend, update, or withdraw any part of these
Rules and Regulations without prior notice, particularly in matters
relating to health and safety.

1. GENERAL

The Festival is open to all Indonesian citizens or KITAS (Residence


Permit) holders residing in Indonesia, aged 6 and above, with no
upper age limit.

Registration for the Festival will start on April 10th 2025 (hereinafter
referred to as the "Closing Date"). Early registration will also close on a
specified date on May 10th 2025. Registration forms must be fully and
accurately completed and submitted via Google Forms by the Closing
Date. Registrations by post, telephone, or email will not be accepted
unless explicitly approved by the Organizer. All entries must use the
official registration form.

Participation fees must be paid in full via the payment system which
stated on registration form to secure a place in the Festival, in
accordance with the Organizer’s policy.

Participation fees are non-refundable and non-transferable, subject to


the Organizer's discretion.
The Organizer reserves the right to accept or reject any late entries
after the Closing Date.

Entry to the theater is by ticket only. Tickets are mandatory for all
individuals, including participants. Ticketing information will be
announced closer to the Festival date.

The Organizer reserves the right to postpone, cancel, terminate, or


suspend the Festival due to safety concerns, emergencies, dangerous
situations, or other circumstances beyond its reasonable control. No
refunds will be issued under any circumstance unless at the
Organizer’s discretion, such as cancellation due to COVID-19
restrictions enforced by authorities.

The Organizer reserves the right to cancel any category with


insufficient participation. In such cases, participation fees will be
refunded at the Organizer’s discretion.

2. PERFORMANCE CATEGORIES

Participants are welcome to register under the following categories:

● Vocal (all genres and styles) Grade 1-8


● Dance (all genres or styles)
● Piano performance (all genres or styles) Grade 1-8

Please refer to the Registration Fee Table for different category fees.
3. PERFORMANCE
Participants may enter as many categories as desired. A separate
registration is required for each category.

All decisions made by the Festival judges and the Organizer are final.

Repertoire, music, lyrics, costumes, and dance content must be


age-appropriate and suitable for the Festival. Participants may be
penalized or disqualified if the repertoire or dance routine includes
inappropriate content or movements.

Each solo and group performance has a time limit. Please refer to the
Registration Fee Table for specifics. Each participant in every category is
given a maximum of 4 minutes to deliver their performance

Performances exceeding the set time limit may be stopped at the


discretion of the judges and Organizer.

Participants are responsible for arranging their own accompanists, if


needed, and must inform the Organizer as soon as possible or by the
Closing Date at the latest.

4. MUSIC

Participants performing with backing tracks must upload their music


in .mp3 format via the “Mp3 Submission Form” (which will be sent with
the confirmation email) as soon as possible, and no later than the
Closing Date (failure to comply may result in disqualification).
Please name your .mp3 files using the following format: <participant
name>.<music title>.<category> (e.g., Mel Tan.Never Enough.Vocal).

Participants must also prepare a backup copy of their music on a flash


drive for performance day in case of technical issues.

All music must be age-appropriate and free from offensive or vulgar


language. Participants may be penalized or disqualified for
inappropriate content.

The Festival is not responsible for copyright infringement. Participants


are expected to be aware of and comply with copyright laws.
5. PROPS

Props are allowed for dance performances. Transporting, preparing,


and clearing props is solely the participant’s responsibility. The
Organizer is not responsible for handling any props. Participants must
ensure the stage is clean and tidy after their performance.

To ensure safety, all props must comply with safety standards and
pose no risk of injury or harm.

The Festival is not liable for any injury or loss of life resulting from the
use of props. Participants intending to use props must inform the
Organizer as soon as possible or no later than the Closing Date;
otherwise, use of props at the venue may be denied.

6. FIRST AID

Participants are required to bring their own first aid kits and ice packs,
if needed.
The Organizer is not responsible for providing any first aid equipment
or related products (ice/hot packs, etc.).

7. PRIZES / AWARDS

The Festival aims to reward participants for their hard work and
accomplishments.

Each participant will receive a trophy and a certificate of participation.

Cash prizes will be awarded to the top 3 performers in each category.


If performance standards are not met, the judges and Organizer
reserve the right to withhold cash prizes.

8. INDEMNITY

All participants must be in good physical condition and free from


medical conditions that could be aggravated during the Festival. The
Organizer reserves the right to deny participation on medical or other
grounds at their discretion.

If a participant becomes ill or unfit before or during the Festival, they


may be deemed ineligible to continue.

While every effort will be made to ensure participant safety, the


Organizer is not liable for any injury or property damage incurred
during the Festival. Participants accept the inherent risks of
performing, including but not limited to sprains, bruises, fractures, or
muscle strains.
By participating, each individual clearly acknowledges and agrees that
neither the Festival nor the Organizer shall be held responsible for
any loss or damage, whether directly or indirectly related to the
Festival.

Furthermore, participants acknowledge that the Festival and


Organizer disclaim all liability for any direct, indirect, or consequential
damages, including (but not limited to) injury, property damage or
loss, and loss of profits, business, income, goodwill, or anticipated
savings.

9. PERSONAL DATA

By registering for the Festival, participants hereby grant authorization,


consent, and agreement for the Organizer to:

- Collect, use, disclose, and/or process participants’ personal data,


both current and future, as well as data already held by the
Organizer, including but not limited to names, birthdates, email
addresses, phone numbers, and addresses, for the following
purposes:
○ Facilitating, processing, managing, and maintaining participants’
involvement in the Festival;
○ Handling matters related to the Organizer’s services and
activities;
○ Verifying participant identity;
○ Responding to and managing inquiries, requests, applications,
and feedback from participants;
○ Processing payments;
○ Sending marketing information about upcoming Festival events;
○ Complying with applicable laws, regulations, codes, guidelines,
or assisting in law enforcement and investigations by relevant
authorities.

By registering and participating in the 1st Asian Arts Festival


Indonesia, all participants, guardians (where applicable), and related
parties acknowledge that they have read, understood, and agreed to
abide by all the above Rules and Regulations. The Organizer looks
forward to celebrating the diverse talents and cultural expressions of
our participants in a spirit of respect, creativity, and excellence. Let
this Festival be a platform for inspiration, growth, and unforgettable
artistic experiences for everyone involved.
