CHAPTER 1: INTRODUCTION
1.1 BACKGROUND INFORMATION
Victory school offers a variety of a co-curricular activities organized under
club and societies. These clubs enhance student’s skills beyond academic
by encouraging participation in shared interest. However, the manual
system for managing membership, activities, and finances is time-
consuming and error prone.

CHAPTER 2: SYSTEM ANALYSIS
2.1 PROBLEM DEFINITION
Victory school currently relies on a manual system to manage its club
memberships, activities, and finances. This approach presents several
challenges:
 Inefficient Membership Management: Tracking member details
such as admission numbers, names, class, and roles are
cumbersome. Manual registration processes lead to delays and
inaccuracies particularly when student join or leave clubs at the
beginning of an academic year.
 Complex Financial tracking: The collection of registration fees,
revenue from club activities, and allocation of funds for events and
savings are prone to calculation errors. This makes it difficult to
monitor the financial health of each club and ensure accurate
distribution of resources.
2.2 OVERVIEW OTF THE EXISTING SYSTEm
The current system at Victory school for managing club operations is
entirely manual. It relies on:
 Paper-based records: Membership details, including admission
numbers, names, classes, and roles, are recorded in ledgers or
notebooks. These records are prone to damage, misplacement,
and illegible entries.
 Manual financial Management: Registration fees and revenue
from activities are tracked manually. Calculation for allocating
funds to club activities, events, and saving are accurately time-
consuming.
