BASIC PATS OF

BUSINESS LETTER
HEADING OR LETTERHEAD

 It contain the return address.


 Two types: Modern and Conventional

Example:
Mariners Polytechnic Colleges Foundation
Zone 2, Baras Canaman Camarines Sur
DATE
 This parts contains the exact date when the letter is
written.
 Follows the month-date-year format.
 Two to 3 spaces after the letter head

Example:

19 January 2019 (American format)


January 19, 2019 (International format)
INSIDE ADDRESS
 It
contains the name, job title or designation, and
address of the recipient.
 It should be 2 to 3 spaces below the date.

Example:
Alphanetworld corporation
San Miguel Avenue Pasig
Metro Manila
SALUTATION
 The greeting used in the business letter.
 Normally begins with “Dear” plus the name of the
recipient and is punctuated with a colon.
 Two spaces below the inside address.

Example:

Dear Sir/Ma’am:
Sir/Ma’am
BODY

 Contains the central idea or message of your


business letter.
 Three main parts: Intention, reason, and
goodwill.
I am your company’s former employee at
Nworld Naga Branch with the TIN No. 342-875-
697-000. I have received an order from my
current employer to request for certificate of
compensations/tax withheld (BIR 2316) from
my previous employer. I wish to not cause
any kind of disturbance.

COMPLIMENTARY CLOSE
 Shows the regard, respect and appreciation of the
letter writer to the recipient.
 Only the first letter is capitalized.
 Two spaces after the body of the letter.

Examples:
Very truly yours,
Sincerely yours,
Yours truly,
Regards,
WRITER’S IDENTIFICATION AND
SIGNATURE
 Includes the name and signature of the sender
and a job title or designation, if applicable.
 Is to authenticate the letter.

OPTIONAL PARTS OF
A BUSINESS LETTER
ATTENTION LINE
 Usedwhen the business is addressed to the
company in general but is directed to a person
who is concerned with the official or business
matter contained in the letter.
 Placedtwo spaces below the inside address and
two spaces above the salutation.
Example:
ATTN: Ms. Nina Jose, HR Officer
SUBJECT LINE
 Gives the reader an overall idea of what your letter is all
about without reading the entire text.
 Written after salutation
 Capital letters or Underline
 Two spaces between salutation
Example:

SUBJECT: CERTIFICATE OF COMPENSATION/ TAX WITHHELD

REFERENCE INITIALS
 Refer to the initials of the typist/encoder and the
writer of the letter.
 Initials of the writer are in capital letters while the
initials of the typist/encoder are in small letter.
 Two spaces below the writer’s name and title.

Example:
FCS/acs
ENCLOSURE LINE
 Informsthe recipient that there are
attachments in the letter.
 Placed right after the reference initials.

Example:
Encl.: Company Profile
CARBON COPY NOTATION
 Indicates that the same copy of the business
letter has been sent to other recipients.
 Two to three spaces after the initials or right
after the enclosure.
Example:

Cc: Human Resource Management, CM. Manuel Olivan


FORMATS OF BUSINESS
LETTER
FULL BLOCK

 Allparts of the business letter are flushed


to the left side margin except for the
letterhead which has its own creative
design and layout.
INDENTED OR SEMI-BLOCK

 The date, complimentary close, writer's


name, and signature are flushed to the
right side margin. The attention line,
subject line, and all other paragraphs
are intended.
MEMORANDUM

 Used for internal communication


 The flow is internal, vertical, downward
pattern.
 Directive Memo- states a policy or
procedure you want the reader or co-
worker to follow.
APPLICATION LETTER
 Isthe cover letter which expresses your
interest in a vacant position that a company
wants to fill.
 Purpose of application letter:
1. It introduces your resume
2. Highlights your strengths
3. Helps you get an interview.
CONTENTS OF AN APPLICATION LETTER
 It indicates where you got the information on the job
vacancy.
 It states directly the position or job you are applying
for.
 It specifies your qualifications, highlights your
educational qualifications and experiences, and
emphasizes your work background relevant to the
position.
 It includes a direct request for an interview at the
employers convenient time. Be sure to state where
you can be reach
I have heard that your company is on hire for
marketing manager. It occurs to me that you
will be needing highly motivated, and
experienced marketing manager. I am writing
to express my desire to apply for this vacant
position. Here are significant qualifications I
have to offer.
I will receive my bachelor’s degree in Business
Administration from Ateneo de Naga University.
As part of my training, I completed a six-month
internship at Jollibee. During that time, I gained
valuable experiences in customer service, cash
handling, sales and marketing and how to
handle people.
I am very much willing to come for an interview at

TIPS IN WRITING AN APPLICATION LETTER
1. Do not write anything in your letter which you
cannot substantiate in the interview.
2. Do not laud or extol your personal honors and
distinction in an attempt to impress the
employer.
3. Do not buy your employer’s favor, but sell your
potentials by presenting your qualifications
and experiences suited for the job applied for.
 Do not forget to make your letter neat
and free from any typographical errors
in structure and grammar.
 Do not forget to check for consistency
in your level of formality.
Do not forget to attach additional
documents like transcript of records
and certificate.
