TIME MANAGEMENT
Objectives:

At the end of this lecture student will be able to:


 Identify time and time management
 Discuss the Principles of Time Management
 Differentiate between the Time Management styles
 Discuss the importance of Time Management strategies

Introduction:
 Time management is based on a variety of techniques
that facilitate the best use of time.
 Time is the number of seconds minutes, hours or days
available to the manager to accomplish a given task.
Definition

 Time management skills are those actions that help


individuals/nurses use their time effectively and productively.

Achieving more with the time that is available, Requiring the


following actions:

 Prioritizing the tasks.

 Analyzing how time is being used.

 Assessing distractions that distract from effective


time use.
Principles of Time Management

 The principles of time management are as follows:

 Communication.

 Planning.

 Delegation.

 Prioritizing goals.
Communication

 Effective communication facilitates time management tool to


provide complete appropriate information proper information
guides correct action.

 Decisions about the work to be completed should only be


made after the necessary information is known. Good
communication is fundamental to effective use of resources.
Planning

 Planning is an essential for effective use of time.

 Managers spend a major part of their time in planning process.

 The ability to plan effectively is essential for effective use of


time.

 Planning will show the course of action in order of importance.


Planning

 It also involves creating objectives and goals in accord with a


time frame and should include realistic deadlines and
alternatives.

 Routine reviews of plans on a daily, weekly and monthly basis


is important for good planning.
Delegation
 Delegating the work of the department to others is a strategy for time
management.

 Delegation can be used by the managers to ensure the work of the


organization is completed on schedule.

 To ensure that delegated tasks are properly done, the manager should
maintain a delegation record.

 The record should include the person’s task and time in which it is to be
completed.

 Delegating the work of the department to others is a strategy for time

Prioritizing Goals

 Prioritizing involves ordering goals, tasks and


responsibilities from most important to least important.
 This involves knowledge about managerial role and the
nature of work to be completed.
Time Management styles

 Time styles are based on personality, Action

characteristics and habits.

 These styles are named as follows:

People

 An action-oriented person tends to view time in


the present and organize activities one at a time to
be completed immediately (not happy with
unexpected tasks).

 An idea-oriented person is creative and don’t


usually pay attention to time (hard time meeting
deadlines).
Time Management styles
 These styles are named as follows:

 A logic-oriented person is an orderly, rational,


sequential planner who are able to use time well.

 A people-oriented person is most effective at team


building and may not see time as a priority.
Time Management strategies

The following strategies are of great importance:

1. Time analysis:

 Used to discover your own style and how you spend time.

 Personal diary in which all activities are recorded in 15


minutes block for 1 week.

 It will show where time is spent, wasted and properly used.


2. Daily planning:
 Planning is effective when time frame correspond with
the manager’s responsibility . This means to have daily,
weekly and monthly plan.
 The daily plans should be reviewed and formulated as
by the manager.
3. Crisis control
 Planning cannot prevent periodic crisis.

 In any social system crisis do occur from time to time.

 Crisis control is accomplished when communication and delegation of


a new plan is reorganized around priorities to manager unexpected
event.

 The people involved in its resolution should be informed about the


necessary details of the problem.

 In a crisis situation the manager’s flexibility and ability to activate


alternative solutions represents good management of time.
4. Problem analysis
 Managers should be able to distinguish a crisis from
an urgent or an important event.
 The crisis requires major reorganization of priorities.
 Some situations requires immediate action while
other problems does not require immediate solution.
 Some problems go away with little or no
interventions.
5. Task analysis

 The manager may decide which tasks are of


low value and therefore could be eliminated,
consolidated or delegated.
 Similar or related activities may be grouped in
such a way to allow a more efficient
performance in limited time.
6. Time control

 Planed office time (office hours) helps in controlling


interruptions except for important messages.
 This should be built into the manager’s plan and
communicated to staff.
7. Time evaluation

 Periodic evaluation of how time is spent is


a helpful technique to assess the use of
time.
 Time analysis techniques can be helpful
guides to improve both effectiveness and
efficiency.

Habits:

Are comfortable ways of behaving because they do not


require conscious thought .

 It is also very difficult to change habits.


 Time analysis will show exactly how personal habits
and behaviors impact time management.

Work expansion:

 if 3 hours are given for a specific task but 1


hour is sufficient, the work may still end up
taking 3 hours.
 Time frames attached to work will provide
realistic guidelines.

Over supervision:

 The manager must be mindful of what the employee is to


accomplish and how much supervision is necessary.

 To give too much supervision to a competent professional it


cause time problems.

 Allowing the staff to complete their work is the best use of


every one’s time.

Under delegation:

The manager who does not delegate


appropriately ends up with more work than
is necessary, a manager has enough
responsibility without that given to others.

 Losing sight of objectives:
 A manager who loses sight/goal of work that
has to be accomplished will surely waste time.
 Periodically reviewing what and how
objectives are to be met is a productive use of
time, and course of action should be maintain.

wasters:
 Telephone interruptions
 Socializing
 Meetings
 Lack of information
 Poor communication
 Lack of feedback
 Lack of adequately described policies and
procedures
 Unorganized office visitors
