in
MANAGEMENT INFORMATION SYSTEM IN EDUCATIONAL
ADMINISTRATION

1. The meaning of information


Information is an abstract concept that refers to that which has the power to
inform. At the most fundamental level, information pertains to the
interpretation of that which may be sensed, or their abstractions. Any natural
process that is not completely random and any observable pattern in any
medium can be said to convey some amount of information.
2. Technology defined.
Technology is the application of scientific knowledge to the practical aims of
human life or, as it is sometimes phrased, to the change and manipulation of
the human environment.
3. Concepts of Information Technology
Information Technology means the use of hardware, software, services, and
supporting infrastructure to manage and deliver information using voice, data,
and video. The basic concepts in information technology include information
security, software development, technical support, database and data storage
administration, and network management.
4. Information Technology System
An information technology System (IT System) is generally an information
system, a communication system, or more specifically speaking, a computer
system – including all hardware, software, and peripheral equipment –
operated by a limited group of IT users.
5. History of Information Technology System in Education
In 1806, students would use a desktop sandbox to practice the alphabet. After
the children had made all the letters, the monitor smoothed the sand with a
flat iron, and a new letter was presented. Considered as “a new form of
education technology” one of the earliest form of teaching technology was
images that were drawn in the sand.
The first American schools were one-room cabins, the missions of which was
to produce literate and moral citizens. Students attended schools for between
one and six months a year and there were few educational tools available. But
as increasing numbers of American communities were settled the education
system became more firmly established. To aid the learning process,
educational technologies, such as slates, hornbooks, blackboards, and books
were introduced.
In 1806, the Lancastrian methodology of schooling was introduced in New
York City and with this new method of teaching came a new form of
educational technology.
Over time, a variety of technologies such as film, radio, television, teaching
machines, microcomputers and the Internet have been introduced to schools,
each sparking controversy about its usefulness for schooling and
effectiveness as a teaching and learning aid.
6. Systems Development
6.1. Basic Education Information System
Basic Education Information System has the following aims:
(1) Improve the collection of data from schools and field offices and
efficiently deliver of data/information to various stakeholders.
(2) Support information requirements for planning, quality assurance,
monitoring and evaluation and other decision-making activities
(3) Provide a venue for sharing, using and reusing knowledge within DepEd
through access to information.

The seven components of BEIS: maintain school profile, ALS Information,


SBM Assessment and Reporting, Basic Education Reporting, Formal Basic
Education Information, ECE Information, and Monitor learning outcomes.

BEIS achieves learning and accountability through a combination of process


evaluations which assess how the policy is bei9ng or has been delivered and
whether improvements can be made. This is often through collecting and
analyzing stakeholder’s perceptions and administrative data.
6.2. Learner Information System

The Deped Learner Information System (LIS) is an online facility that


provides for the registration of learners enrolled in schools run or licensed by
the DepEd in the Philippines.

The LIS is an innovative tool that the Department uses to manage information
with the aim of promoting transparency, informed decision-making, and
empowerment at different levels of the ortganization.

The LIS Dashboard consists of the following components:

(1) Masterlist of the School Register-displays the list of learners by school


year and/or by grade and section.
(2) List of Classes – displays the list of classes and the total enrollment by
class for a given school year.
(3) School Forms – provide access to various reports.

The LIS Workflow process begins when the homeroom adviser enrolls a
learner to LIS and with any of the following cases: transferee from private
school, balik-aral learners, learners who were enrolled in a certain grade in
public school but do not have LRNs. After enrolling the learner in the class, a
request shall automatically be sent to its Division Planning Officer for LRN
approval. Division Planning Officer should validate the information about the
learner being with the new LRN. If information are different update the
learner’s profile based on the information on the legal document, and if the
information are the same, approve the request.

6.3. Learning Resource Management and Development Systems

Learning Resources Management and Development System (LRDMS) is


designed to support increased distribution and access to learning, teaching
and professional development resources at the Region, Division and
School/Cluster levels of DepEd.

LRDMS functions as a clearing house to:


(1) Provide information about the location of resources.
(2) Allows users of the system to access and download directly digitized
versions of resources that are published and stored in multiple formats
within the LRDMS repository.

The HOW of LRDMS:

(1) The LRDMS is managed and maintained at all levels in accordance with
requirements of DepEd Central Office for Distribution and access to
resources.
(2) It is responsive to identified school learning and teaching resource needs
and supports Division via the Regions to fulfill these needs.
(3) The LRDMS is manifested as an online networked information and
communication system. Connected at each level including libraries, media
production, and development centers.
(4) The LRDMS has Standards, specifications, and guidelines underpin each
system.

Resource Types of LRDMS are the following:

Learning Resources (LR) are any digital or non-digital educational resource


with a learning purpose. These resources are designed to be used directly by
the student learners and or integrated into teacher developed lesson plans.

Teacher Resources (TR) are any educational resource digital or non-digital


that supports teachers in curriculum development, delivery and pedagogy or
teacher trainers in the delivery of professional development programs.

Professional Development Materials (PDM) are any digital or non-digital


education training and development resource, or program designed with a
training and development purpose.

LRDMS Catalogue may contain information relating to persons that may be


accessed to support teaching and learning of local culture through oral
traditions, story telling and with indigenous language expertise.
Format resources of LRDMS are any digital file or collection of files with a
learning purpose or potential learning and teaching, and images, video, text,
audio, animation, or any combination of these.

6.4. Computerized Accounting System-Financial Report System

Financial Report System aims to track, analyze, and report your business
income. These reports examine resource usage and cash flow to assess the
financial health of the business.

Advantages of Financial Report System includes the ff:

(1) Raising capital. A company’s financial story is especially important when


the company is looking to raise capital, whether through public markets,
private investments, or loans.
(2) Reassurance. While most financial reporting is retrospective, investors,
partners, and even customers/suppliers can use it to form predictive
opinions regarding future performance and viability.
(3) Financial analysis. Financial reporting is also indispensable to internal
management, serving as a foundation for analyzing operations, measuring
KPIs or even calculating compensation for employees.
(4) Compliance and Law. Financial Reporting is also important because it
satisfies compliance requirements and laws.

Accounting system generates the four major types of reports: Income


Statement, Balance Sheet, Owner’s Equity, and Cash Flow Statement.
Income statement determine the net outcome of the company. Balance Sheet
shows the value of all carried accounts at a particular date. Owner’s equity
shows the change in the equity components during the period, and the cash
flow statement shows the flow of cash within the organizations.

6.5. Human Resource Information System (HRIS)


The HRIS is a system that is used to collect and store data on an
organization’s employees. It encompasses the basic functionalities needed for
end-to-end Human Resources Management (HRM). It is a system for
recruitment, performance management, learning and development, and more.

The Benefits of HRS are the following:

Record-keeping. An HRIS is a record-keeping system that keep track of


changes to anything related to employees.

Compliance. Some data is collected and stored for compliance reasons. This
includes material for the identification of employees in case of accidents,
citizens identification information for the tax office, and expiration dates for
mandatory certification.

Efficiency. Having all this information stored in one place not only benefits
accuracy but also saves time.

HR Strategy. The HRIS permits the tracking of data required to advance the
HR and business strategy.

Self-service HR. A final benefit is the ability to offer self-service HR to


employees and managers.
