Ms – Outlook
Ms – Outlook is a full-featured information management system program used to organize
information on your desktop and to share information with others. You can use out look to
manage your messages, appointments, contacts and tasks etc.
Outlook information is organized in folders. When you first start outlook, the Inbox folder
is displayed. Use mails Inbox and Outbox to read and send mail messages, meetings requests,
and talk requests.
Features of Outlook:-
Mail:-
Mail is used to send and received messages. Mail includes an Inbox, Outbox, Deleted
items, and send items folders. The Inbox contains received messages, while the outbox contains
messages that are writing to be sent. The other folder as their names imply contain sent and
deleted messages.
Create new message(Outbox):-
You can create a new message by selecting Outbox and pressing Ctrl+N or use File/New Mail
Massages. Enter necessary fields To, Cc, Subjects and messages.
Reading your messages(Inbox):- Your incoming messages are found in the inbox. Hence you
can select a message and press Ctrl + O to open it.

Calendar: -
Appointment calendars are used to enter and display appointments by day of the month
and he starting and ending time of your appointment or meetings. You can select the desired
appointments calendar by clicking the day, week or month button on the toolbar. You can also
print appointments.
Entering Appointments or Meetings:-
Following is the general procedure for entering and appointment.
1. Select the day view(click the day button or use View/Day). Then pick the month and day
from the displayed calendar.
2. Pick the starting time of the appointment and press Ctrl+N for new appointment. The
appointment dialog is displayed.
3. Type a description and location, adjust the starting and ending time, then prepare the
reminder information and click Ok.
4. Use the recurrence button(of Tool Recurrence menu selection) if you want to set a
recurring daily, weekly, or monthly meeting.
Editing Appointments:- You can change an appointment using the same dialogs shown in the
preceding section.
To create a task, click on the top line, type a description, and press enter. Then click the task
description and press (Ctrl+O) or Double-Click it to open the task dialog box. At this point you
can enter details about your task; Click Save and Close button.
You can drag you task to adjust their position in the list. You can also sort (Ascending or
Descending) using the Tools/Short menu selection.
View: - The Tasks are viewed in the following view command

Contact Dialog Tabs:- New contacts are added by pressing Ctrl+N or File New Contact or
clicking new button. Then enter the name, address, Tel number, and other indicated information.
After enter the all-necessary information press Save and Close button. If you want to reopen this
dialog box by selecting a contact and either pressing Ctrl+O or File Open menu command.
Finding a Contact:- To find a contact, simply click on a corresponding alphabetical tab at the
right-and side of the display.
Dialing a Telephone numbers:-If you have a Telephone and modem connection to your
computer, it’s easy matter go get dialing help from Outlook. Just select the contact and then click
the Auto Dialer button on the standard toolbar.
Printing your Contacts list:- It is an easy matter to prepare a paper copy of the contacts. They
can be printed in a variety of formats. Use the File Page setup menu selection to pick a format.
