Chapter 1: Methods of Communication
Verbal Communication: This involves uses of words in delivering the intended message.
Two primary forms of verbal communication are: 1. Oral Communication , 2. Written
communication
Oral Communication: The process of expressing information or ideas through spoken words
is known as Oral communication. The advantages of oral communication is that it provides
immediate feedback and clarification. It is time saving and useful tool which lends a personal
touch to the entire interaction. Examples: Telephonic conversation, Video conferencing,
Voice mails, Meetings, Seminars, Group discussions etc.
Factors that determines the effectiveness of an oral communication are:
1. Pace: It means how fast or slow you speak.
2. Clarity in Pronunciation: It refers to speaking words clearly and correctly.
3. Volume/Pitch: It means how soft / loud your voice is. Always speak in balanced tone.
4. Choice of words: It refers to choosing the appropriate words while communicating. So
always choose the word carefully to have no scope of misinterpretation.
5. Fluency: Refers to the ability to speak with ease and accuracy in a language.
6. Length of communication: The conversation should be simple , short and to the point.
Listener will lose the interest if the conversation is too long and not relevant to the
topic. Short conversation conveys the message clearly & concisely and keeps listeners
engaged.
Advantages of Oral communication:
1. It is interpersonal & helps in building relationship
2. Cost effective
3. Provides immediate feedback
4. Encourages team work & helps in quick decision making
5. Preferred mode of communication for private or confidential matters.
Disadvantages of Oral Communication:
1. No legal validity.
2. Emotions are visible hence can lead to miscommunication.
3. Message can be easily forgotten.
4. Does not provide permanent record.
5. Difficult for some people to understand due to various accents and pace used in oral
communication.
Written communication: It is the most formal form co communication which uses written
words to convey message. For effective written communication message should be
meaningful, concise, and complete. Example: letters, applications, resumes, contracts,
notices, memorandums circulars etc. Some other forms are SMS, Whatsapp, E-mails etc.
Advantages of Written Communication:
1. Legal validity.
2. Allows user to thoughtfully draft a clear and comprehensive message.
3. Suitable for lengthy messages.
Disadvantages of Written Communication:
1. Requires time to draft message.
2. May involve postage cost.
3. Delayed feedback and thus causes delay in decision making.
Non-Verbal Communication: Means to communicate without using words either oral or
written. It includes our body language, gestures, facial expressions, eye contact and use of
fingers etc. This convey thoughts and feelings in the absence of verbal communication.
Elements of Non-verbal communication:
1. Facial expression:
2. Gestures: Like waving , pointing and using fingers to indicate numbers.
3. Voice: Non verbal speech such as tone, pitch, volume, modulation, rhythm are
essential elements of communication.
4. Body Language: This includes facial expressions, eye movements, hand gestures,
posture etc.
5. Eye gaze: The movement of eyes, like looking, staring and blinking is an essential
form of non verbal communication.
6. Physical contact: A touch may be able to express feelings more effectively that words.
7. Dress and appearance: This creates impact on the audience or receiver.
Advantages of Non-Verbal communication:
1. It complements a verbal message.
2. Helps differently abled people to understand the things.
Disadvantages of Non-Verbal Communication:
1. Difficult to analyze a non-verbal message.
2. Long conversation and necessary explanations are not possible.
Visual Communication: This involves sense of sight with the help of visual aids like graphs,
charts, maps, smart boards, black boards, handouts, ppt etc. to convey message effectively.
Advantages of Visual Communication:
1. Makes visual messages more meaningful with visual aids like graphs, diagrams etc.
2. Makes complex data easy to comprehend.
3. Makes communication more interesting.
