The World of Office Administration

- Around world, demand for administrative assistants is strong and growing


- These essential workers are well respected and valued in various field
- Employees also depend on administrative assistants to operate efficiently

+ Can be called “Information Central” for the department.

+ Report to the department head or assist other.

+ Scheduling meetings and appointments, handling calls. Correspondence. Faxes. And


emails, keep records and files and manage many other administrative details.

+ Both man and women choses this position to advance within a company or a field.

+ Very rewarding, can be used as an introduction into a certain field, which the AA
can move to other positions or occupations.

+ Requires wide range of skills.

What do Administrative Professionals do?

SOME RESPONSIBILITIES OF ADMINISTRATIVE PROFESSIONALS

1. Relieve management of administrative detail


2. Coordinate workflow
3. Compose correspondence and reports
4. Maintain the supervisor’s calendar
5. Arrange travel
6. Human resources management
7. Internet research
8. Meet and greet clients and visitors
9. Coordinate and maintain records
10. Set up and facilitate meetings and conferences
11. Maintain and distribute staff weekly schedules
12. Manage projects
13. Answer the telephone
14. Perform general clerical duties (faxing, mailing, and filing)

+ Most AA are required to work full time, around 37.5 – 40 hours per week.

+ Some may work part – time, but rarely are allowed to work from home

+ Because the work is very office-centered.

respond to requests and keep things running smoothly.

- These self-employed administrative assistants work from home office to
provide off-site administrative and/or personal assistance to clients
- Popular in small start-up or individual companies. (may not require a full
time AA)
- Only need a computer, appropriate software, an internet connection, and an
e-mail account as well as fax and telephone for teleconferencing.
- Most people who start this service have at least 5 years of experience in an
office as an assistant.

+ Employers expect their employees to have the knowledge and skills they need to do
their jobs, as well as to have interpersonal skills.

+ Organization seeks employees who are responsible and accountable for completing
the works assigned to them.

+ They want someone who can manage time, have strong thinking and problem-
solving skills.
+ In particular, employers look for workers with a combination of skills knowledge,
attitude, and personal traits, including.

Technical skills:

The ability to apply specialized knowledge and procedures, such as the use of
specific software to get the job done. Learning new software is also essential, as well
as adapting to new software.

AP are expected to know how to use word processing, database management,


spreadsheet, and presentation software. They must be able to use desktop publishing
