PROJECT CLOSEOUT

Introduction

• Project closeout is the final phase of the project development life cycle

• The closeout of a project is just as important as the other phases and the
project manager and sponsor must allocate the time and effort to thoroughly
complete this final phase

• The Project Management Institute (PMI) defines project closeout and


evaluation as “formalizing acceptance of the project or phase and
bringing it to an orderly end ”
The project closeout steps include:
• Producing the post-implementation review report
• Accepting the project’s product/service by obtaining sponsor and
customer/client sign-off
• Conducting administrative and contractual closures
• Demobilizing resources—personnel, equipment, and facilities
• Team performance evaluation and recognition of outstanding
achievements
• Conducting a lessons-learned session
• Completing and archiving project records
• Celebrating project completion
• Project official handover to the performing organization
• Producing the project closeout report
A project archive would typically contain the following:

• Project supporting documentation, including the business case and project


proposal
• Project description/definition documents such as the project charter and project
plan
• Project documents defining approved baseline scope, schedule, and cost
• Project schedules (all versions)
• Project financial reports
• Risk plans and risk register
• Issues log and details (open and resolved)
• Change request register
• Project status reports
• Team member progress reports
• Test, installation, and audit results
• Correspondence, including any pivotal or decision-making memos, letters, e-mail, etc
• Meeting notes
• Project acceptance checklists by deliverable
• Project deliverable approval, with original signatures
• Final project acceptance, with original signatures
• Post-implementation review report
• Project closeout report
