The opportunity
The Department of Home Affairs – Immigration at the Australian Embassy is looking for Visa and
Administrative Officers to assist in the management of its visa programme. The office processes
a growing number of visitor, student and permanent visas to Australia. As part of a team, Visa
and Administrative Officers process visa applications, interpret legislation, navigate
departmental systems and engage with clients.
We are looking for the ideal candidate that possesses the required qualification and skills
specified in the attached position description.

The Department of Home Affairs comprises a number of Portfolio agencies ensuring that
Australia prospers from being open, engaged and connected to the rest of the world. Every staff
member is expected to have commitment, integrity and a drive to work collaboratively.
Home Affairs - Immigration in Jakarta manages a diverse portfolio of visa applications, including
family migration; humanitarian; and a range of temporary entry programs, including students
and visitor visas.
Visa and Administrative Officers undertake a range of tasks including visa and citizenship
assessments, integrity checking and undertaking a range of procedural, clerical and
administrative tasks, as directed.
The key responsibilities for this position include, but are not limited to:
Manage, assess and decide visa and citizenship applications, and referring complex matters
to managers for assistance.
Exercise initiative in applying legislation including maintaining knowledge of relevant
legislation, regulations and policy.
Conduct identity and integrity checks and investigations.
Ensure ongoing program integrity by maintaining awareness of integrity issues.
Prepare correspondence and submissions for senior staff.
Identify and escalate cases according to office escalation protocols.
Manage a referral caseload.
Undertake office and case related administration including filing.
Handle accountable documents, client information, and personal identifiers with high levels
of confidentiality and privacy.
Maintain, record and use information stored on departmental systems.
Manage financial processing and purchasing, and provide administrative support in relation
to the office budget.

Receipt payments taken at the counter and process payments in accordance with revenue
collection guidelines.
Provide administrative support as required.
Respond to client enquiries made at the counter or via phone/email.
Interview clients and making requests for more information via face-to-face contact, email
or phone.
Liaise with internal or external clients as a representative of the work area.
Under close direction liaise with external stakeholders and undertake representation
activities.
Contribute to work area planning.
