Recruiting Marketing Introduction

Overview
Thank you for choosing SAP. We are looking forward to working with you on the build of your new Recruiting
Marketing (RMK) site using our new Career Site Builder (CSB) tool. This document will provide you with a basic
overview of the RMK product and help prepare you for the implementation process. In order to help us better
understand your corporate brand standards, and objectives for this project; please fill in the information on the
Readiness Checklist (Intake Form) provided in conjunction with this overview.

Recruiting Marketing
SAP will build a career site that incorporates best practices, cutting edge interactive functionality while
maintaining your corporate brand standards. Behind the scenes SAP will capture visitor, member, and pre-
applicant data in the SAP Recruiting Dashboard™ showing source effectiveness and building a proprietary talent
community.

SAP RMK Site Emphasis


Build functional career site focused on –
• Improving conversion rates by providing a logical and direct path through the apply process
• Capturing applicant data by building a proprietary talent community
• Providing analytics to enable informed decision making
• Enhancing search engine optimization
• Providing a seamless and interactive candidate experience

Responsive Design

Recruiting Marketing sites are built utilizing responsive design. This is an approach to web page development
that displays the same elements on a web page but renders them differently based on the browser resolution.
For example, if a user viewed a webpage on a tablet, the content would be decreased in width and increased in
length from the desktop browser resolution size, to allow the user to scroll down instead of side to side to see all
the content.

An example of responsive design can be seen by going https://jobs.prologis.com/ and resizing the browser. If the
browser window is decreased, the elements on the page adjust to be easier to view on the new browser size.

Responsive design sites no longer require a separate mobile site. This decreases maintenance for the customer
and increases flexibility for the user viewing the site. As a result, separate mobile sites are no longer
implemented as a standard part of the Recruiting Marketing implementation scope. If you would like to continue
the mobile apply process into the RCM, this will need to be configured into that solution.

The standard breakpoints SAP uses are as follows:

• 800-1280px – Typically referred to as desktop


• 768-799px – Typically referred to as tablet
• 320-767px - Typically referred to as mobile

The standard scope is included below but may vary based on the contract.

•One (1) Home page
•Up to ten (10) Category pages
o These pages are focus on high-volume or hard-to-fill positions that are core to your
recruitment category. They leverage a consistent, approved template with unique title,
copy, image and job routing rule.
• Up to four (4) Company Pages
o These pages typically focus on aspects of the company like benefits, about us, or culture.
They leverage a consistent, approved template with unique title, copy, and image.
• Job collection import
o Real-time if using Recruiting Management
o One-time collection if using another applicant tracking system
• Optimized Pages called Support and SEO Pages based on a standard SEO text template
(number as determined by SAP SEO team)
• Job Description Pages
• 1 Interactive Job Map
• Talent Community Subscribe Business Card and Apply Business Card
• Pre-Apply Page
• Search Results Pages
Talent Community
• Automated remarketing of jobs using Talent Community Emails
o Welcome Email, Agent Email, and Password Reset Email
• Ability to capture a business card’s worth of information on a job seeker
o Subscribe Business Card and Apply Business Card
• Up to 1,000,000 active Talent Community members

Career Site Builder


Career Site Builder allows your RMK Consultant to build a responsive career site without the need to engage a
Web Designer and Web Developer.

All standard Recruiting Marketing features are included with a Career Site Builder implementation. You can
customize career sites by adjusting colors, images, and site layout. Users can also adjust the site's header and
footer size, and other site layout component, like the distance between site components. These adjustments
allow users to create sites with a custom look without engaging SuccessFactors Professional Services.
No additional setup is required to make Career Site Builder sites responsive. You can activate some
components for only specific devices, for example a component can be active on a mobile device, but not a
desktop browser.

Recruiting Dashboard™
In the Recruiting Dashboard™ you will be able to view visitor, member, and pre-applicant traffic providing
visibility to Talent Community members, metrics needed to maximize recruiting spend and allowing you to focus
on the strategies that most effectively drive down cost per hire. Your subscription includes Recruiting Dashboard
access for up to 25 users. Note: The Recruiting Dashboard will be deprecated in December 2019.

Ongoing Hosting and Optimization


• Host the designated career site pages and content constituting your Customer Website under a
single URL
• Distribution of standard all jobs feed to SAP aggregator partners
• Send automatic job updates via email to Talent Community members based on candidate desired
frequency

• Auto-generate keyword pages based on actual searches and keywords captured from visitor
searches
Additional Implementation Tasks not included in Base Scope
• Implementation of language packs for language support beyond one primary language
• Multiple brands
• Configuration of modules or products other than Recruiting Marketing
• Private or onsite training sessions
• Graphic/video/flash creation, stock photography, or copy writing

Project Stakeholders

Roles, Responsibilities, and Time Commitments


The project team members for the implementation of the SAP Recruiting Marketing (RMK) are detailed below.
SAP understands that titles and roles may vary by organization and will work with you to identify and work with
the appropriate resource.
The busiest time during a RMK implementation is the first three weeks after formal project kick-off. Attendance in
projects status calls and assistance in aligning the appropriate resources for approval is critical during this phase
in the implementation. Marketing plays a key role in this step of the process to provide approval on branding.
All hours provided below are approximate and may vary based on project complexity and internal approval
processes.

Project Sponsor – Executive owner


Up to 2 hours per week for the full duration of the project
• Identify and secure support from the necessary internal stakeholders
• Remove internal obstacles if they arise
• Provide final approval
• Attend project status meetings
Project Manager – Day to day contact for implementation
Up to 10 hours per week first 3 weeks and up to 5 hours per week for remaining duration of the project
• Coordinate internal deliverables and drive to deadlines
• Collect all internal feedback on design, copy, and graphics and provide to SAP
• Notify SAP of any potential delays
• Provide feedback throughout the implementation on how we can better partner with your
organization
• Confirm the site is built to agreed upon specifications during transition phase
• Provide any agenda items that that your organization would like to cover in our project status
meetings and attend these meetings
Marketing/Communications Contact
Up to 5 to 10 hours for the full duration of the project
• Review and approve branding on mock-ups, copy, and graphics
• Provide access to employment brand assets (images, videos, graphics, logos, etc.)
• Provide web style guide
• Provide vector art logo
IT Administrator/Webmaster
Up to 5 hours for the full duration of the project
• Set up SSL
• Set up sub-domain
• Implement back links or redirect career site if hosting

Readiness checklist
Along with this document you will receive an Implementation Readiness Checklist to complete. The Readiness
Checklist enables SAP to prepare recommendations for the build of your Recruiting Marketing and present these
recommendations on the kick-off call.

The Readiness Checklist is the first step to begin implementation. The Design Consultation will be scheduled
after receiving this completed readiness checklist form and access is given to web style guide amd employment
brand assets. After the Design Consultation, a Kick-off Meeting with be scheduled 7-10 business days later
(pending resource availability).
Items needed to begin
• completed Readiness checklist (This document)
o This includes all the information needed to start a Recruiting Marketing project.
• web style guide (please provide)
o A document or webpage that defines how your company’s brand should be portrayed
online.
• access to a minimum of 15-20 high resolution employment brand graphics (please provide)
o Online access or access via a zip file to approved employment brand assets including a
vector art logo.
Site Build

Timing
The Readiness Checklist, access to images, and brand guidelines are needed prior to beginning the RMK
workbook.
The implementation of the Recruiting Marketing site moves through four project phases—Prepare, Explore ,
Realize, and Deploy. The implementation project officially kicks-off with the prepare phase.
A formal project timeline and estimated launch date will be provided at the conclusion of the prepare phase once
SAP and your organization have determined the full scope of the implementation.

The Prepare phase of the project is meant to gather requirements and prepare for the project to commence.

The Explore phase allows for the build of Iteration 1 and testing according to the workbook and assets provided.

Realize
The Realize phase allows for the build of Iterations 2 and 3, testing, and build out of additional locales and
brands (if included in the SOW).
• Iterations 2 and 3 completed and tested based on workbook and assets provided
o Test cases executed and issues resolved
o Building of additional locales or brands per the SOW
• User Acceptance Testing (UAT)
o Customer reviews live clickable site in staging environment to confirm it was built to agreed
upon specifications.
o Sign-off on stage site giving approval to move to production
• Move to Production
o Stage site moves to production under Customer’s sub-domain
o Test apply completed

Deploy
The Deploy phase allows for the launch of the full RMK site and integrations on production

Creative Content
Images can be provided by you by granting access to an image library, login to a photo site (similar to
photobucket.com), or a zip file of images. A broad range of at least 15-20 high resolution employment brand
images is best because it gives SAP more options. Note: PDFs or images are your corporate site are low
resolution and cannot be used for the design of the site. Your company will have the chance to approve images
prior to launch of their site.
When providing images, images should typically be a minimum of W:1000px to reach across the width of the site
and no more than H:300px to keep the action items above the fold.
If you would like to use videos or flash, SAP needs a link to where the videos or flash are hosted online as SAP
does not host video or flash on their servers. For videos, a link to YouTube is often used.

Browsers
At this time SAP supports the latest versions of Firefox, Chrome, and Internet Explorer.

Language
Recruiting Dashboard™ is only available in English.*

Next steps

1. The statement of work is executed


2. The project is set-up within SAP
3. Customer returns the required information (readiness checklist, access to assets, and web style
guide)
4. A design consultation is conducted typically within the following week
5. Mock-ups are created after the design consultation
