The Principles of “ Five S”

Doing work in a clean and organized workplace can give you a peace of
mind while working and it will result to a more productive day. To have this
kind of workplace, the Japanese came up with a system called 5S. Managing
the workplace and workflow can improve the efficiency of your work
performance. Can you imagine yourself doing your assignment or project in
unorganized and messy workplace?

4
The principle of 5s was developed by the Japanese. It is a system of
organizing, and managing the workplace and workflow to improve
effectiveness, eliminating waste, improving the workflow including work
safety, and reducing the process of delays.

The 5s stands for the five Japanese words seiri, seiton, seiso,
seiketsu, and shitsuke. These can be applied not only to the workplace but
also to our home.

Sort (seiri) – It is the first step of 5s. It refers to identifying all unnecessary
items from your workplace and dispose of them. It makes work easier by
eliminating obstacles which refer to unnecessary objects. It also helps you be
more focused at work and not distracted by unnecessary items.

This can be done by determining things or items in your work area and
eliminating the unnecessary items. Items that are to be recycled and
eliminated can be identified.

Straighten (seiton) – It is a process of keeping needed items in the proper

place so that anyone can immediately find them in time of use. Arrange all
necessary items so that they can be selected for use. This process prevents
waste of time, and makes the workflow smooth and easy. This can be done
once the sorting is achieved.

5
This principle refers to organizing the items in the work area to optimize
efficiency. Using effective storage method to arrange the items is highly
suggested. Good example for this is to keep tools where they will be used, the
more frequent it is used, the closer it should be kept.

Shine (seiso) - This process refers to cleaning the workplace completely. This
stage focuses on cleaning up the work area by dusting, mopping, wiping
surfaces, arranging tools and materials etc. This ensures that everything is
properly-maintained and looks new. It is very important to clean our
workplace to keep it safe and pleasing to work in.

A regular cleaning process can be used as a visual inspection of tools

and equipment to catch potential problem in their early stages. As an
example, we have to clean our tools, equipment and work area regularly.

Standardize (seiketsu) – It refers to the process of ensuring that the first

three stages of 5s becomes standardized. Standard systematizes everything
and ensures that everyone in the workplace has common ways of working. It
is important to standardize the best practices in the work place and maintain
the standard at all times.

Sustain (shitsuke) – This is the last step of the 5s method. It means

maintaining or sustaining established procedures. It is also a condition of
training individuals so that they become independent. The benefits from the
first four steps would be lost if the set standards are not maintained.

This stage can be done using some tools like checklist, posters, pocket
manuals, signs, etc. These tools provide evidence that the tasks have been
completed.
