This project aims to help the overall performance of a barangay in terms of efficiency in looking
for people and their current records in the barangay. It can also track the current barangay or
criminal records in the baranay. This will improve the current system wherein we record the files
using papers that are really not reliable because they do not last long and are prone to decay.
Significance
The Barangay Information System greatly improves on how we handle the important recorded
files in a certain barangay. And this system only uses a single computer and does not even need
an internet connection to function, by this you can use this where or when you need it. And this
system is user-friendly, even a child can navigate through our system and make it usable to any
person.
Scope
This system can only handle barangay information and we are still working on handling bigger
data like municipalities and cities that we will be working on in the future. And managing data at
larger scales will cause complexity due to the increase of volume in information and may cause
some problems if the developers do not prepare enough resources.
Limitations
1. Technological Adaptation
Some barangay might not like the new system since it uses computers and other workers in a
barangay are too old to use a computer and will choose the old-fashioned way of handling data
and information in their barangay. Adapting the system to serve larger administrative units
requires ensuring that the technology is user-friendly, intuitive, and easily adaptable by officials
at different levels.
2. Resource Constraints:
As our system grows, the amount of resource requirements may increase. This includes the
financial resources for infrastructure, manpower for implementation and maintenance and time
for development and integration and having limited resources might slow down the expansion
process.
a. Software Development - Our system has an initial cost on developing the software and
the costs may include the implementation of the system.
b. Hardware - Expenses may include computers, servers and other necessary for the system
to operate efficiently and effectively.
c. Training - Budget for training Barangay officials and staff on how to use the new system
effectively.
d. Maintenance and Technical Support - Include ongoing costs for system updates,
technical support, and any necessary upgrades.
Benefits:
a. Improved Record Accuracy and Time Span - Greatly improves the accuracy of
recorded data in a Barangay and proves the data is more secure and durable compared to
paper records which has a higher risk of decay and loss.
b. Enhance Accessibility - Illustrate how the system will provide easy access to
information for Barangay officials and residents.
c. Better Monitoring of Barangay Activities - Discuss how the system will facilitate the
monitoring of activities, such as tracking barangay/criminal records, leading to better
community safety and management.
d. Cost Savings in the Long Run - Having our system in hand also reduced paper-based
processes can lead to cost savings in terms of paper, storage, and manpower required for
manual record-keeping.
e. Efficiency and Time Savings - Our system promotes efficiency in keeping and
retrieving information in a certain barangay and improving response times to inquiries
and requests.
f. Serving the Community - The barangay residents will greatly benefit from a more
efficient system by easily accessing information and services provided by the Barangay.
RISK MANAGEMENT
1.Data Security Breaches:
Risk: Unauthorized access, hacking, or data breaches compromising sensitive information.
Mitigation: Implement robust encryption protocols, regular security audits, access controls, and
employee training on data security best practices.
3. Resistance to Change:
Risk: There may be cases that the staffs or official reluctant to adapt on the new system

Risk: Exceeding the allocated budget due to unforeseen expenses or scope creep.
Mitigation: Conduct thorough cost estimation, create a contingency fund, regularly monitor
expenses, and have clear change management protocols.
DEVELOPMENT PLAN

a. System Development
- Acquire the hardware and software or any kinds of resources that is needed on
the development of the system.
- Develop the system in iterative phases using an Agile approach.
- Begin with core functionalities like data entry, user authentication, and
basic search features.
- Test and refine each iteration based on user feedback and quality
assurance.
