Graduation Meeting Agenda

I. Date
a. Between May 15 and June 30
b. Day of week generally Saturday or Sunday
II. Location
a. Ridge Baptist Church, 2168 Ridge Church Rd, Summerville, SC 29483 - $500
rental/insurance fee
b. Other options
III. Final cost will depend on the following:
a. Facility fees
b. Technician fees
c. Speaker fees/donations
d. Cost of programs
e. Photographer
f. Reception costs
g. Gowns, Caps, Tassels
h. Event insurance
i. Other
IV. Cap, Gown, and Tassel Color
a. Historically, we have used black caps and gowns, students choose tassel colors
i. We do have some black gowns that can be “borrowed”
b. All students can use same color or each can choose their own gown color
V. Speakers
a. Significant to students and families
b. Student speakers?
c. Pastor for opening and closing prayers +/-
VI. Invitations
a. Group or individual invitations
b. Design similar to programs
VII. Diplomas
a. Order by December 1, 2021- https://chasc.net/diplomas
b. Delivered at graduation or mailed in graduation packet, can be mailed early upon
request
c. Copy emailed for approval and can be printed for personal use
d. No cover
VIII. Student tables
a. If space allows, each student will be able to set up a table with photographs, signature
books, etc.
IX. Photographer
a. All families will participate and pay a basic package fee that will be determined by the
photographer
b. Family members are allowed to take photographs but must not interfere with the
photographer
X. Program
a. Design
i. Cover page
ii. Meet the graduates
iii. Order of ceremony
iv. Last page
b. Graduate information written by student or parent
i. Student full name
ii. Plans for the future
c. Order of Ceremony
i. Welcome
ii. Processional
iii. Opening prayer
iv. Worship song+/-
v. Message to graduates
vi. Presentation of diplomas
vii. Closing prayer
d. Scripture verse

XI. Presentation of diploma


a. Parents will give the diploma to the student
b. Parents will write brief (1-3 minute) student biography to be read while diploma is
presented
XII. Video program of students – do you want to show a video of graduates before the celebration
a. We need a person able to create program that includes photographs and music
b. Parents will need to send photographs to person in charge by deadline set by that
individual
XIII. Reception
a. Is there a desire for a reception?
b. Volunteers to help plan and set up
c. Menu
d. Potluck – each family brings something
