culmination phase of the project?

Is completing project on time and within

budget is considered a indicator of project
success?
Scope Management
Doing the right stuff
Project scope management is the primary knowledge
area out of ten knowledge areas in PMBOK which
includes the processes required to ensure that the
project includes all the work required, and only the
work required, to complete the project successfully.

Scope Creep : those uncontrolled changes that cause

the team to do more work

Scope Management means figuring out what’s OUT OF

scope, not just what’s part of it.
Product Scope
• Product scope can be defined as the features
or characteristics of a product itself
• Whether considering design, function or
component parts, the key point is that product
scope refers to the actual tangible product

• Product scope would address how it works, how it

is physically made and how it can be improved in
future iterations
Product Scope
• Does not have to refer to goods
• Services or other forms of output can also be
products as long as their production end goal of a
process

• In the case of a service, product scope focuses on

the actual tasks & responsibilities of the
personnel delivering the service

• For example, it often suggests the ways that the

service can be measured and improved for future
customers or clients
Product Scope
Project Scope
• Project scope focuses on the various steps taken to
deliver a product or service

• Include, assembly lines, budgets, staff training, supply chains

and personnel allocations

• Refers to anything that is needed to arrange production or

implementation of a good or service

• Work required to get to a final product

• Does not include how the actual product functions, but rather what
tools, equipment or processes will be necessary for managers to
deliver the product

Scope Management processes
PLAN SCOPE MANAGEMENT

• Plan Scope Management is the process of creating a scope

management plan that documents how the project and
product scope will be defined, validated, and controlled

• The key benefit of this process is that it provides guidance and

direction on how scope will be managed throughout the
project

• This process is performed once or at predefined points in the

project
PLAN SCOPE MANAGEMENT

It is where you lay out your approach to figuring out what work you’ll
do and what’s out of scope
PLAN SCOPE MANAGEMENT- Inputs & Tools

Input :
OPA, EEF , Project Plan & Project Charter

Tools:
Expert judgement: Expert judgment is a technique in
the project planning process that refers to making a judgment
based on skill, expertise, or specialized knowledge in a
particular area

Meetings: Must have an agenda. (Face to face or e-link)

PLAN SCOPE MANAGEMENT- Outputs

The Scope Management plan

Keep the project team on track by detailing the processes the

team will follow while defining scope, how WBS will be created &
what process/ approach will be used in Validating & controlling
PLAN SCOPE MANAGEMENT- Outputs
The Requirements Management plan

Defines processes for collecting requirement, documenting requirement

& maintaining requirement

For example: will it be documented in Excel or any other software

• Who will access it?

• Who will add/del changes in the requirement document?
• Who will approve it?
• It will describe Prioritizing process for requirement as organization
has limited resources.
.
Collect requirements for your project

• Determining, documenting and managing stakeholder requirement

to meet project objectives

• Here clearly defines and & understands project objectives to meet

project objectives

• PM or any other resource helping or collecting requirements

responsible not only to just collect and document but also to clearly
define & translate it accurately
Eg: Requirement of 100 transactions in 1 min
Designer and coder accurately did it but tester just checked the
background color
Collect requirements for your project
Collect requirements for your project

• Requirement Traceability Matrix:

• It helps you with high-level view of how requirement ends in whole

project journey (where requirement come from, where it goes &
how its validated)

• It helps in identification of the status & ensures requirement is not

lost by tracing requirement end to end
Collect requirements for your project
Define the scope of the project
Define the scope of the project
Project Scope
• A definition of the end result or mission of the project
• A product or service for the client/customer—in specific, tangible, and
measurable terms
Purpose of the Scope Statement
• To clearly define the deliverable(s) for the end user
• To focus the project on successful completion of its goals
• To be used by the project owner and participants as a planning tool and
for measuring project success
Define the scope of the project

Draw relevance
within your own field
Validate scope
Validate Scope
• Validate Scope is the process of formalizing acceptance of
the completed project deliverables

• The key benefit of this process is that it brings objectivity to

the acceptance process and increases the probability of
final product, service, or result acceptance by validating each
deliverable

• This process is performed periodically throughout the project

as needed
Validate scope
Validate scope
Validate scope
Control Scope
Control Scope

• Control Scope is the process of monitoring the status of the

project and product scope and managing changes to the
scope baseline

• The key benefit of this process is that the scope baseline is

maintained throughout the project
