 Description of the Project


The client (SHARIF AND BROTHERS) has a plan to Renovate and upgrading of G+3

Building for Office purpose. The intended duration to complete of the Surveying the

building is maximum of 30days.After the date summited all clear and detailed

documents with 5(five) Hard and Soft copy to the client mentioned above.

 Scope of Work Summary


Settle

The scope of the Project or major items of works is :-

 First Collect all data’s that used to make as built drawing including

Architectural ,Sanitary and Electrical drawing and Specification.

 First make Architectural drawing .


 Than put all data’s on the drawing as Architectural.

 Check all existing finishing materials its actual appearance and use .

 Analyze the materials to replace with the new , luxurious and durable one.

 Make Sanitary and Electrical drawing and specification based on client interest,

Use of the building and Architectural drawing.

 Finally Summarize the Out put that collect from each engineers and print out

with hard and Soft copy including unit price and Grand total price that earned to

renovate the building and also give professional suggestion for construction work

as supervision .

 Terms of Payment

The term of payment divides in to three parts:-

The Total Amount of Payment is = 150,000.00 birr

1st pay. Advance payment start of the project = 33.33% *150,000 = 50,000.00 birr

2nd Pay. After 15days of work executed =33.33% *150,000 = 50,000.00 birr

3rd Pay. At the End of the Project =33.33% *150,000 = 50,000.00 birr

Introduction
General Statement
Our Company YOHANNES DANGACHEW GC is very much proficient and has a good
reputation to carry out the project for the CONSTERUCTION OF GUARD HOUSE WITH SITE
CLEARANCE within time, budget and the quality of standard set forward.
It is our Company’s special attention given to the response of the Client’s need of urgency for the
project and other bid requirements in the preparation of this document. For the designer thrived
reflecting the essence of architecture through his work our attention shall also be towards
excellence in all aspect of construction to produce iconic structures that suit the intended
purpose well and beyond. For that to be real we have produced this project specific document
for our Methodologies and overall Work Schedules for the efficient and effective completion of
Construction Works by looking to all aspects.
Along with the Program of Works and Methodologies, this document also includes proposals for
Health & Safety, Quality and Environment aspects. It is also intended to ensure compliance with
the Contract Specification and the Standards referenced therein. It is also intended to ensure
compliance with all health, safety, welfare and environmental legislation, regulations and codes
of practice.
For the successful completion of the project, we present the diverse components inherent to the
company, i.e.
 Availability of well trained personnel.
 Good relationship with sureties
 direct relation between project and company top management (decision makers).
 Experience in similar or comparable projects.
 Flexibility of company regulations to fit existing circumstances.

This document is intended to be a live document, and upon award of the contract, will be
updated to include the Construction Health & Safety, Environmental and Quality Plan.
Furthermore, a comprehensive list of method statements will be developed, maintained and
updated throughout the life of the project.
Our Company, if appointed to act as Contractor will strictly carry out the works in accordance
Contract including all relevant Ethiopian Laws. The Project Manager acts as the Company
representative in respect of this appointment.
The project development and execution is by means of risk assessments, method statements,
procedures and work instructions, which are implemented by trained, experienced and
competent staff.

Quality Policy
.
 It is the company's policy to provide the highest standards of customer care and client
satisfaction by achieving all specified requirements and adhering to contract construction
programs and budgets.
 To assist in meeting these policy requirements the company maintains a Management
System.
 The Management System incorporates all of the company's management functions
including health, safety and environment.
 Our company and it is the responsibility of all personnel to work in accordance with the
documented procedures.
 Our System is reviewed regularly to ensure applicability and will continue to be
developed as appropriate to suit the future needs of the company and clients.
 Our Company is responsible for ensuring that the Management System reflects the
required quality standard and that it is fully implemented.

Health & Safety Policy


 It is the policy of the company to ensure so far as is reasonably practicable, the health and
safety of its employees and all others who may be affected by its activities.
 The company aims to conduct its operations in a manner that always gives priority to
health & safety issues, and commits to comply with current Ethiopian and International
health and safety laws and related requirements to which the organization subscribes.
 Employees should not carry out any task that will place themselves or others at risk of
harm. Suggestions to improve health, safety and welfare within the company are
encouraged and welcomed from employees for consideration and implementation as far
as is reasonably practicable.
 Employees and other persons under contract to the company are required to comply with
this policy and any other instructions, rules and procedures regarding health and safety.
 This policy will be reviewed at least annually so that it continues to reflect the company’s
organization and arrangements in line with a commitment to continual improvement of
health & safety standards.
 Environmental Policy
 Our Company recognizes that, whilst the buildings and civil engineering works produced
by its construction activities will, it believes, enhance the quality of the built environment,
the construction processes used have the potential to damage the rest of the
environment.
 The Company will, therefore:
 Keep up to date and comply with all environmental legislative requirements, codes of
practice and relevant technical advances.
 Keep up to date and comply with customers’ environmental requirements.
 Communicate this Policy to all members and staff of the Company, and make it
available to other interested parties.
 Ensure that the Company commitment to the protection of the environment is
transmitted to all suppliers/subcontractors, when supplying services or products.
 Provide information to sub-contractors and suppliers in order that they can contribute to
the delivery of the Company’s environmental objectives.
 Identify staff responsible for the day-to-day co-ordination of environmental
management within the company.

 Implementation of this Environmental Policy will be the responsibility of the Managing


Director. Detailed implementation will be the joint responsibility of the Staff and the
Managers responsible for delivery of each individual project.
Project Information
Description of the Project
The client (ETHIOPIAN ELECTRIC UTILITY HARARI REGION OFFICE ) has a plan to construct
Guard House with site clearance in HARAR Conel Compound. The Project requires the

Construction of Guard House with site clearance. The intended duration to complete the
construction works is 60 calendar days.

Scope of Works Summary


Our understanding on the scope of the Project or major items of works is briefly
summarized below. It is based on the data collected from Bill of Quantities and
Drawings of the Bid.

Excavation and Earthwork


The project requires demolishing, site clearing, bulk & pit excavation, filling and cart
away works which consist but not limited to the following:
 Bulk excavation will be carried out on different type of soil ranging from light clay to hard
rock up to a depth of 500mmfrom reduced Level.
 Trench excavation will be carried out on different type of soil ranging from light clay to hard
rock up to a depth of 1500mm from reduced level
 Selected material from quarry and selected excavated non-expansive material from site will be
filled under hardcore, around foundation and retaining wall as per the instruction.
 Surplus excavated material will be carted away not exceeding 10km from the site as per the
approval of engineer
 25 cm basaltic stone hardcore will be rammed & consolidated and blinded with crushed stone.

Concrete Work
 Lean concrete C-5 will be casted under
 Under masonry wall.
 Reinforced concrete C-25 will be casted in:
 Footing pads, column, basement floor beam, slab.
 Formwork will be provided
Carpentry & Joinery
 6m length 16cm dia. Wooden main post.
 10cmdia.wooden horizontal stringer
 Connect wooden post with horizontal wooden stringer with interval of 0.9m
 6cm dia. Thick wooden purlin at interval of 0.06m.
 Construction of wooden stair with 3m length 162cm dia. Wooden main post
 10cmdia.wooden horizontal stringer
 2.5cmthick with 30cmwideand 1m length Australian wooden diagonal stringer.
 Wooden truss will be fabricated from eucalyptus as per structural design

metal work .
 Metal corrugated iron sheet on the left right and rear side of the guard house.

Roof Work
 Metal corrugated iron sheet on the wooden purlin

Work Plan & Scheduling


Considering the volume and complexity of the Work including other requirements set
out in the Bid Documents, we have designed our program, mobilization and site
operation in the following section along with Health & Safety, Quality and
Environment aspects to deliver the Project in effective and efficient way.

Program Outline
We are stuck to 60 Cal. Days as set out in the Bid Documents for the all proposed
schedules of work activities, manpower, equipment and material
Mobilization
Immediately after the site handover, since we have all the basic equipment at hand such
as, Mixers, vibrators, Formworks, etc. and key personnel for site administration, the site
establishment which is construction of office, store, production yard and shade will be
carried out. There after we will start with the necessary activities as per our proposed
schedules.

Excavation and Earthwork


Site Clearance
Site clearance shall be carried out in accordance with the direction of the engineer for
the area to be cleared. Bushes, vegetations , and undergrowth shall be removed from the
site required to be cleared .
Site clearance shall be measured by area and understood as including trees up to 80mm
in diameters.

Removal Off Structure


Temporary and Permanent Structures including substructure shall be demolished as
indicated on drawing and BOQ

Excavation work
Ordinary Soil Shall mean material yielding to ordinary excavation machinery or pick
axes. Excavation for Ordinary soil classified as Bulk, Pit and Trench

Back Fill
Fill to excavated or to make up level shall be made in suitable material approved by the
engineer and capable of being compacted.

Fill shall be placed in successive of the stages of not exceeding 200mm and watered and
compacted to approval by the engineer.

Cart away
All unsuitable and Surplus materials arising from excavation shall be disposed off when
instructed by the engineer.
Hard Core
Hard Core shall be sound approved stone of specified finishing thickness and place as
directed by the engineer and finished blinded with 20mm crushed aggregate.

Stone Masonry Work


Stone masonry wall is mortared stone wall with stone bedded in cement mortar as
indicated on the drawing as specified or as may be ordered by the engineer.

A foundation trench shall be excavated down to rock or to material with an adequate


bearing capacity at a minimum depth of 300mm below ground level.

Large selected stone shall be used for the foundation layer . Flat and Stratified stones
shall be laid with the largest dimension in the horizontal plane. Stone shall be Packed
individually to stagger the joints and to provide a minimum of voids, and shall be firmly
bedded against adjoint stones .The space between the larger stone shall be filled with
spalls securely rammed into place.

Concrete Work
All concrete work was prepared using by the machinery mixers vibrator ,and water tank
Storage will provide for easy access of water ,form work and reinforcement will place
accordingly as per needed .

The ratio of the weight of free water to the weight of cement in the mix shall be not
exceed 0.5 unless otherwise permitted by the engineer.

Carpentry & Joinery


All the demolishing work for the existing CSI wall ,roof and others materials must be
started before any other work start then ,The selection of materials, production, delivery
and installation of carpentry & joinery works shall be performed with care and closely
with Consulting Architect. Overall process shall be managed by the Project Manager in
consultation with our assigned Architect.

Metal Works
All the metal work will be done by competent sub-contractor approved by the Client
and closely supervised by our Architect along with Construction Engineer.
Quality in this aspect will not be compromised and competent Architect will be
assigned on selection, purchase, production and supply of these materials by sub-
contractor to meet the standard stated in the specification.

Roofing Works
All roofing materials of Metal corrugated iron sheet Flashing will be purchased from
available markets.. The roofing covering work will be continued after ensuring the
completion of all preceding works.

Organization& Staffing

As the construction duration & complexity of a project are usually factors in


determining the setup of the work organization and based on the information and data
provided in the tender document, we have prepared a project organization that could
suit and respond to such factors. In view of this, we have adopted flexible
organizational structure to fit this project.
At the head office level, the General Manager will establish a new desk, which will give
assistance and the required support for the Project Manager. This new desk will directly
communicate with the Project Manager.
At the site level, the overall site activity will be under the managerial and technical
jurisdiction of the Project Manager. In order to manage different work disciplines in
proper way it is required to establish separate departments which will be led by
competent personnel.
As the smooth and efficient supply of equipment is crucial to progress of works, the
Equipment Manager will be designed to be assigned directly under the Project Manager.

FOUNDATION FOR THE SWITCH. The intended duration to complete the construction

works is 60 calendar days.

Finishing Work

Formwork
The formwork material type and quality shall confirm to the respective requirements set
out in the Technical Specifications.

Forms shall be constructed true to the structural design and required alignment. And the
formworks used will be steel panels which will be continuously inspected to check their
alignment and stability during all phases, to guarantee the finished product meet the
required surface class specified.
