Introduction

Attendance management is one of the most crucial tasks of different educational institutions.

Students' attendance was monitored daily to assess their activities and academic performances;

however, the daily management of the thousand students' attendance was quite challenging. The

majority of educational institutions rely on the conventional or traditional paper-based attendance

system, where numerous problems and inconveniences may arise. In addressing this issue,

enhancing the student's attendance management through radio frequency identification, or RFID,

can be a great way to improve these problems, as it attempts to enhance the work and efficiency

of managing the student's attendance in a fastest and clever way. The system will use modern

technology that supports the school and parents in dealing with the problems of manual

attendance management systems. This paper seeks to develop the attendance monitoring system

of Saint Columban`s College with the use of RFID technology.

Background

Nowadays, teachers experience several difficulties while checking the attendance of each

student. It may encounter numerous problems, including time consumed unnecessarily, the

possibility of losing the attendance sheet, and difficulties in monitoring the students' exact arrival

and departure time at the school. The aforementioned manual checking of attendance can

consume the time left for class lectures, so the students cannot properly understand the lesson

due to the insufficient time left. Furthermore, there is a tendency that the students will have the

chance not to attend their classes without their parents or guardians being notified about it. With

regards to these problems, the project " Enhancing Student`s Attendance Management through

RFID-Based Identification System at Saint Columban`s College" was presented to eradicate the

mentioned problems. According to Choi and Sung Hee (2015), RFID, or radio frequency

identification, is one of the advantageous documentation technologies that tests or reviews the

individual or distinctiveness of a person or an object with an RFID tag in real time. The aim of

the project on enhancing RFID as the attendance monitoring system for the students, is to

provide more efficient and accurate data and information. The monitoring process of the

student's attendance and information will alert their parents via short message service, or SMS,

to notify them about their children's time in and time out on campus. The system works easier

than the manual way of checking attendance, for the students will only swipe or tap their school

ID (with a RFID tag or microchip attached on it) to the RFID reader.

Project Description

Objective of the project

This project aims to address these objectives:

1. To improve student`s attendance and performance

Many studies have stated that students who attend class consistently are more likely to excel

academically than those with lots of absences. According to Allen (2016), class attendance is a

way to succeed academically. However, there are lots of students who are said to be absent

without valid reasons. These students are those who are most likely to get low grades, because

aside from being absent, they cannot properly understand the lesson they missed. The most

common reason for these absences was because they believed that their parents or guardians

would not be notified if they actually left for school or not. With this, the RFID would be

beneficial in improving their class attendance and performance. Due to the fact that their parents

will now be notified if they have already reached the school, The students will tend to be forced

to go to school. With the help of this, the student will have good attendance and can participate

adeptly in class discussions, which will help them to have good academic performances.

2. To facilitate parents` awareness of their child`s attendance

With the help of the RFID, parents or guardians will feel more at ease with the concern that their

children might skip their classes and go somewhere instead. The RFID can track the student`s

time in and out of school, which can be sent directly to their parents and guardians via SMS. The

school will guarantee that the information being sent to the parents or guardians will be kept

confidential, and surely secured.

3. To enhance the school`s or teacher`s attendance monitoring of the students.

The RFID aims to prevent numerous problems encountered while using the paper-based

attendance system. It seeks to prevent time-consuming checking of the attendance sheet, the

chance of mistakes or improper documentation, and the tendency to skip classes, which the

majority of students may do. The school, which is Saint Columban’s College, can prevent these

problems from happening if they implement the RFID as the attendance monitoring system for

the students.

Methodology

This project will involve the school administrators, teachers, students, and other schools in the

planning process to make the implementation of the project more successful. This proposed

project will be presented in such an effective way that the students will be able to improve their

class attendance. It can also be efficient and beneficial for improving the school`s attendance

management. The implementation of the RFID attendance monitoring system will only be

limited to Saint Columban's College in Lingayen, Pangasinan.

Process:

• Before the school year starts, the school administration, along with the faculty teachers will

gather to discuss the implementation of RFID at the campus. The team will also asked the school

administrators about the launching of 10 pesos voluntarily contribution campaign.

• After the planning and approval, we will seek help from the finance department to create a

budget that includes the expenses that will be incurred in installing the RFID.

• Once the materials needed for RFID (such as RFID microchip, RFID reader, computer

database, etc.) are listed, the team will voluntarily buy the listed products. After buying the

products, the planned RFID will now be installed at the school.

• A month before the school year starts, they will test the performance of the RFID system to see

if it is properly working before putting it in use for the start of the school year as part of the

improved attendance monitoring of the students. The team will gather with the faculty teachers to

plan and discuss how they will guide the students on how to use it and how the system works.

• A week before the classes start, the registrar will get the contact numbers and information of all

parents or guardians and students of Saint Columban`s College to register them on the computer

database.

• When the school year starts, the teachers and the team will now guide the student`s on how to

use the RFID system and how it works, like how they planned it to be.

• The school administrators, faculty teachers, and other school staff will be monitoring the

system continuously. They will be observing if the system shows better performance as the

school year progresses. The team also asked for approval if they can sell some school supplies at

the school, while the money will be used for maintenance of RFID system.

Timeline

This project can span approximately to 3 months provided the need for thorough planning,

managing and installation of the necessary materials needed for installing the RFID attendance

monitoring system in St. Columban's College School. The installation of the Monitoring System

will begin before the commencement of classes. The school organization will collaborate

meticulously to make this project a success and effective.

Anticipated Outcome

The anticipated outcome of this project is expected to enhance the attendance of each student. By

implementing the rfid attendance monitoring system, this initiative aims to avoid skipping of

classes, poor attendance (which somehow affect their academic performance) and waste time of

checking attendance. This proposed project promotes good attendance, which leads to a higher

achievement in academic performance.
