Keeping Exchange Participants Engaged:


Executive Summary: Re-approving EPs now for the coming summer cycle means an 8 month gap
between an EP getting approved and realized. The following is a basic list of ideas to be implemented
with the purpose of keeping EPs engaged with AIESEC during the 8 month gap.

The list is intended to be followed in a timeline order with no specific sequence of events.

 Having effective O2O’s with an EP:


The frequency of the O2O’s can be monthly, bi-monthly or set according to the EP through a
google form. The purpose of these O2O’s will be to create interest, learn about the EP’s
expectations, provide feedback and suggestions etc. O2O Tracker can also be implemented.
 Group your EPs country-wise:
All the participants can be added to a WhatsApp group categorized into the country they are
approved for. This will create engagement and will allow an EP to create contacts and make a
local network.
 PDP/ Time-capsule activity:
Have a session with your EP’s where they write down things/areas they want to improve on
during their experience. The writings will be given back to the participants once they return to
their home entity.
 FACI sessions with previous EP’s:
Conduct sessions with previous participants for a better expectation setting, providing
testimonials and helping them research about the country they are going to.
 Exchange Education Cycle:
Similar to the VEC conducted by AIESEC in IBA. Having videos on different topics regarding
exchange and quizzes with rewards.
 Monthly Newsletters:
EP’s can sign-up for monthly newsletters regarding exchange updates, articles on their country
etc. (10 best places to visit in Egypt)
 Inform your EP’s about Re-integration:
Explain the culture to them, tell them they can apply to become a part of AIESEC after returning
from their exchange.
 Taking input from the EP:
Survey on how EP’s would like to be engaged throughout the silent period.
 Helping EP’s make a mind-map:
Assist the EP in creating a mind-map for their exchange with questions about how they felt
during this period of silence and their expectations from the organization so they feel more
connected.
 Assigning buddies:
Assign buddies from the same project and different countries to carry out tasks to smoothly
carry out an initial ice-breaking stage.
Timeline:
Approved -> Realized

Earliest Approval: September


Earliest Realization: June
Silence Period: 8 months

EP Engagement channels can be prioritized and ranked according to timeline.
